We are looking to appoint a highly motivated and experienced administrator who can work cross site at our three integrated practices Moorcroft Medical Centre, Holmcroft Surgery (Stafford) and Keele Health Centre. Therefore the ability to drive and be adaptable to the demands of the service is a must.
The main responsibility of this role is to send referrals created by clinicians to the relevant services.
You will be responsible for processing subject access requests and non-NHS forms in relation to our patients.
We are a friendly and well organised team with a forward-thinking approach. Full training will be provided to support induction into the role.
Main duties of the job
* To work as a Medical Secretary at Moorcroft, Holmcroft and Keele practices.
* To support the current team in managing incoming workload
* Use of EMIS, iGPR and Microsoft software i.e. Outlook, Teams, Word, Excel etc.
* Sending referral letters to secondary care
* Completion of SARS and non-NHS requests
* To work within the processes and protocols which allow the organisation to comply with CQC and clinical and information governance requirements.
* Ensuring that a general broad knowledge of all tasks is in place and requesting further support and training as gaps in knowledge are identified.
* Liaising with and supporting practice team members, outside agencies and patients for general queries.
* Contributing towards any projects or pilots that the practice may take part in.
* Acting upon clinical team queries and/or instructions from the clinical team.
* Identifying issues which need further management and making the appropriate team member aware of the need to action.
* Contribution towards the setting up of appropriate protocols and adhering to them.
* Covering team absences to ensure a safe working environment and preservation of safe working systems.

Job responsibilities
* Sending referrals through the E-Referral service and by email
* Maintaining referral and non-NHS tracker spreadsheets
* Prioritising workload including working on 2 week wait cancer referrals
* Being aware of and acting on Advice & Guidance and triage responses received from secondary care
* Completion of non-NHS work on iGPR and paper forms
* Manage personal and secretarial email inboxes
* Sending letters to external services and patients
* To contribute towards new IT systems and tasks as they become available
* Use of Docman for checking external letters
* Scanning and housekeeping of documents
* Following up on queries ensuring that satisfactory conclusion is reached
* Appropriate use of IT equipment in accordance with Health & Safety Policy.
* Use of Accurx for sending text messages to patients
* Creating invoices for non-NHS work
Person Specification
Qualifications
* NVQ 2 qualification in administration or equivalent experience
Experience
* Experience of a range of secretarial procedures and software programmes
* Previous administrative experience gained in a busy office environment
Knowledge
* Knowledge of systems used in GP surgery
Skills
* Good communication skills verbal and written
