We are seeking an Office Administrator to join our Inverness team. This is an exciting and varied role at the heart of our day to day operations. As a key point of contact for employees, clients, and external partners, you will help ensure the office runs efficiently, and professionally.


You will support administrative processes, coordinate office activities, manage facilities requirements and assist with internal communication and collaboration. This role is perfect for someone who is organised, service focused and enjoys being a central support within a professional business environment.


Your New Role


This list of duties is not exhaustive and may change from time to time according to business needs:


* Provide professional administrative support to senior management and internal teams
* Contribute to a positive client experience through effective communication and office coordination
* Support local and regional business initiatives, projects and events
* Assist in the onboarding and induction of new employees
* Identify opportunities to enhance processes and operational efficiency
* Foster a welcoming, inclusive, and well organised office environment
* Act as a liaison between departments, promoting open communication and teamwork
* Maintain confidentiality and handle sensitive information with integrity
* Support health & safety and compliance standards across the office
* Contribute to a culture of wellbeing, professionalism and collaboration
* Oversee day to day office operations, including facilities, equipment and supplies
* Coordinate meetings, travel arrangements and internal events
* Manage filing systems, digital and physical and maintain accurate administrative and training records
* Assist in preparing reports, presentations and documentation
* Welcome and support clients and visitors, ensuring a professional experience
* Ensure adherence to local and group policies, supporting a secure, compliant office environment
* Carry out ad-hoc administrative and operational tasks as required


What will you need to succeed in this role?


As to be expected, we are searching for someone who can bring a range of skills and experiences to enhance the team. As such, there are a few essential skills we are looking for:


Essential Experience & Skills

* Proven experience in an administrative, operations, or office coordination role
* Strong organisational, communication, and multitasking abilities
* High attention to detail and a commitment to confidentiality
* Proficient in Microsoft Office and standard business applications
* Able to work independently while contributing positively to a team


Desirable

* Experience within a multi jurisdictional or professional services organisation
* Basic knowledge of health & safety, facilities, or training administration
