Main Purpose of the Role: To be a key member of Joelson, delivering first-class service to clients. To provide administrative support to partners and colleagues on fee-earning matters. The role involves being the first point of contact in client onboarding and demonstrating our high standards of service.
This position supports 5 partners and 13 legal specialists within the Corporate & Commercial administrative team, currently supported by 1 secretary and 1 Executive PA. Please note, this role is primarily administrative and is not suitable for candidates seeking paralegal or training contract opportunities.
Hours: 9:30 am – 5:30 pm, Monday to Friday, with occasional flexibility required outside these hours. The firm operates on a hybrid basis, requiring a minimum of 3 days in our open-plan offices near Regents Park. Part-time options for 4 days per week may also be considered.

* File opening – KYC checklists, engagement and acknowledgment letters; file setup in iManage
* Billing – preparing reports, client invoices, and correspondence
* File closing and archiving
* Client onboarding on Evaluate
* Handling e-filing of documents
* Reviewing files, formatting, redacting, and populating documents
* Diary and inbox management
* Monitoring client referrals
* Managing DocuSign, emails, and conference calls
* Producing and circulating business development and marketing materials
* Scanning, printing, and document management, including bundle preparation and pagination
* Supporting marketing activities such as event invitations and client reception
Ideal Candidate:
* Minimum 6 months’ experience as an admin assistant, legal secretary, or legal assistant, preferably in a professional services environment
* Good academic background
* Familiarity with Lawman, Adobe, Evaluate, DocuSign, and iManage
* Strong work ethic and outgoing personality
* Excellent communication skills, both oral and written
* Organizational and administrative skills with the ability to prioritize
* Ability to multitask and manage stakeholders effectively
* Attention to detail
* Friendly, proactive, and flexible attitude
* Ability to work independently and as part of a team
* Strong IT skills, including Outlook, Word, Excel, and quick learner of new systems
