Overview
NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across clinical and non-clinical professions. We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and up to 2.2 million when regional and national services are included.
Role: The CPDT is responsible for the development, support and management of pharmaceutical services provided by independent NHS contractors throughout the Board area. This includes strategic, operational and performance management, undertaken in partnership with Health & Social Care Partnerships (HSCPs). The CPDT supports evolving community pharmacy services and change processes under the leadership of the Lead Pharmacist - Community Care, PPSU. The CPDT also ensures the Board meets statutory obligations under The Pharmaceutical Services (Scotland) Regulations 2009 as amended. For the Contracts Officer, this entails admin duties related to the various contractual elements of the Regulations.

Key responsibilities

Administrative and Operational Support
* Provide broad admin support to the CPD Team.
* Monitor and manage the team’s generic mailbox, ensuring timely processing of requests and communications.
* Handle mailings to community pharmacies, including disallowed items lists, formulary updates, and finance remittances.
* Maintain accurate records, scanning, filing, retention and destruction of documents, and organise offsite storage when required.
* Keep records on pharmacy consortium arrangements and the Stoma service participant list.
Systems and Technical Support
* Act as first point of contact for CPD software issues, including password resets, access requests and training coordination.
* Support community pharmacists with access to the NEO system for OST payments.
* Process applications for Patient Care Record (PCR) login credentials.
* Update and maintain the Emergency Closure log and input information for public/local holiday processes.
Communications and Network Coordination
* Coordinate communications to the community pharmacy network (Drug Alerts, SG Circulars, Early Warning System messages).
* Work with the Contracts Administrator to ensure communications are accurate, relevant and clearly written.
* Upload and maintain information on the team’s intranet pages.
Regulatory and Reporting Responsibilities
* Produce quarterly reports to update the Board’s Pharmaceutical List and distribute amendments under the Pharmaceutical Services (Scotland) Regulations 2009.
* Run and share performance reports from the Pharmaceutical List Database, including 24-hour Emergency Dispensing Service data.
* Log Patient Group Direction (PGD) returns, update database records, and liaise with pharmacists to correct missing or inaccurate information.
Service Processes and Compliance
* Manage the Lost/Stolen process, ensuring notifications are issued and the process remains effective.
* Process initial patient referrals for services supplying acute drugs (e.g., Hep C, HIV, Oncology).
* Test the Early Warning System and address non-compliance with Contracts input.
* Participate in continuous improvement activities, reviewing and refining processes regularly.
Knowledge, training, qualifications and experience
Essential
* Educated to SQA Level 6 (Higher, SVQ Level 3) or equivalent experience.
* Relevant admin experience within the NHS.
* Knowledge of working within a regulatory framework.
* Knowledge of NHS organisational procedures.
* Knowledge of Access databases, including queries, forms and reports.
Skills
* Proficient in all Microsoft packages.
* Excellent written and verbal communication skills.
* Excellent planning and organisation skills.
* Ability to work to deadlines.
* Leadership, negotiating, influencing, planning, coordinating, analysing and decision-making skills.
* Budget management/financial planning.
Desirable
Knowledge
* Knowledge of NHS Pharmaceutical Services (Scotland) Regulations 2009 (as amended).
Experience
* Experience in a Primary Care setting and understanding of the Primary Care Agenda.
* Participation in relevant training courses required for the role.
* Completion of induction/training programme (minimum 4 weeks for new employees).
