Job Summary:
As the first point of contact for patients, the Dental Receptionist plays a crucial role in providing a welcoming and efficient front-of-house service. This role ensures that patients receive a high standard of customer service while supporting the smooth running of the dental practice through excellent administrative and communication skills.
Key Responsibilities: Patient Interaction & Customer Service
* Greet patients in a friendly, professional, and courteous manner.
* Handle all incoming calls, emails, and face-to-face enquiries promptly and efficiently.
* Book, reschedule, and cancel appointments using the practice management system.
* Ensure patient records are kept up to date and confidential in accordance with GDPR.
* Manage patient check-in and check-out processes, including taking payments and issuing receipts.
* Address patient concerns or complaints calmly and appropriately, escalating when necessary.
Administrative Duties
* Maintain and manage appointment diaries for clinicians, ensuring efficient scheduling.
* Process referrals and maintain accurate logs.
* Liaise with NHS patients regarding treatment plans and payment queries.
* Handle incoming and outgoing correspondence, including emails and post.
* Ensure reception area is clean, tidy, and stocked with relevant materials (forms, leaflets, etc.).
* Assist with daily administrative tasks such as scanning, filing.
Team Support
* Communicate effectively with clinical and non-clinical staff to ensure smooth patient flow.
* Participate in team meetings and staff training sessions.
* Follow all practice policies, procedures, and compliance regulations including CQC and health & safety standards.

Person Specification ( we are a practice who encourage training and development ):
* Previous experience in a customer service or receptionist role
* Excellent verbal and written communication skills
* Strong organisational and multitasking abilities
* Friendly and professional demeanour
* Confident using computers and practice management systems (training provided if needed)
* Discretion and confidentiality when handling patient data
Desirable but not expected ( we are a practice who encourage training and development )
* Experience in a dental or healthcare environment
* Knowledge of dental terminology or treatments
* Familiarity with dental software such as SOE, EXACT
* Understanding of NHS
