To ensure every interaction with Astec Europe is consistently professional, welcoming, and aligned with organisational standards. Key responsibilities include greeting, assisting, and directing visitors at reception; answering, screening, and forwarding incoming calls; and managing the daily receipt, sorting, and distribution of mail. The role also provides general administrative support across the organisation, contributing to the smooth and efficient operation of day-to-day office activities. About The Role Take proactive ownership of all front-of-house responsibilities, ensuring a consistently professional and welcoming environment. Greet and assist customers, guests, and suppliers upon arrival, directing them to the appropriate person or location. Maintain office security by adhering to safety procedures and managing access through the reception desk, including monitoring the Visitor Management System, PPE, and relevant health & safety instructions. Answer, screen, and forward incoming telephone calls, ensuring messages are relayed efficiently. Keep the reception area tidy, organised, and well-stocked with essential materials, such as PPE, brochures, and hospitality supplies. Receive, sort, and distribute daily mail and deliveries promptly. Manage the ordering of front-office supplies and maintain accurate stock inventories. Update calendars, schedule meetings, and prepare meeting rooms as required. Arrange travel and accommodation for employees across the relevant departments. Maintain up-to-date records of office expenses and cost-related information. Support the collection and recording of production and engineering timesheet data on a regular basis. Provide additional support to the finance team by posting supplier invoices as required Perform general clerical and receptionist duties, including filing, photocopying, transcription, and faxing, while providing administrative support to company Directors. Assist with the maintenance and accuracy of the company database. Undertake additional appropriate duties as required to support office operations. Required Criteria GCSE English and Maths (or equivalent). Proven experience in a Receptionist, Front Office, or similar administrative role. Strong computer literacy, with particular proficiency in Microsoft Excel. Practical experience using a range of office equipment. Professional demeanour with a well presented and courteous approach. Strong communication and interpersonal skills. Effective planning and organisational abilities, including multitasking, time management, and the capacity to prioritise workload. Sound decision making skills and a proactive approach to problem solving. A high standard of customer service with a positive and helpful attitude. Desired Criteria Have previous experience working within a manufacturing industry. Knowledge of ERP systems.
