We are seeking an experienced Executive Assistant/Personal Assistant to support the Director of The Specialist Neurodevelopmental Clinic. This high-level role requires a proactive, detail-oriented, and organised individual with experience managing diverse administrative tasks. The successful candidate will play a crucial role in ensuring the clinic's efficient operation while maintaining the highest level of professionalism and confidentiality.
Key Responsibilities:
* Provide comprehensive administrative support to the Director, managing their schedule, appointments, and meetings.
* Facilitate effective communication between the Director and staff, clients, and external stakeholders.
* Assist with planning and coordinating clinic events, meetings, and conferences, including preparing materials and agendas.
* Conduct research and compile reports related to clinic operations and project initiatives.
* Manage the Director's correspondence and ensure timely responses to inquiries.
* Support the Director in decision-making processes by preparing relevant documents, presentations, and analyses.
* Organise travel itineraries and transportation as needed, including occasional transportation support for the Director. The means you must have a valid driving licence and a car to fulfil this component of the role.
* Maintain and file confidential records and documentation in accordance with clinic policies and regulations.
* Foster a positive and collaborative work environment by actively assisting team members when required.
Qualifications:
* Proven experience as an Executive Assistant or Personal Assistant, preferably in a healthcare or clinical setting.
* Exceptional organisational and time management skills, with the ability to prioritise tasks effectively.
* Strong communication skills, both verbal and written, with an emphasis on professionalism and discretion.
* Proficient in Microsoft and Google Suites and other relevant software.
* Ability to work independently and collaboratively in a fast-paced environment.
* A proactive approach to problem-solving and decision-making.
* High level of integrity, with a commitment to managing confidential information appropriately.
