We are seeking a dedicated and detail-oriented Medical Secretary to join our luxury medical concierge healthcare team. The ideal candidate will play a crucial role in ensuring the smooth operation of our medical practice by providing administrative support and facilitating communication between patients and healthcare professionals. This position requires strong organisational skills, attention to detail, and the ability to manage multiple tasks efficiently in a fast-paced environment.

The Candidate
We are looking for an experienced and passionate Medical Secretary to join our fast-growing team and manage the practice as well as our Members. The role underpins the entire service, forming relationships with clients responsible for curating exceptional
experiences, providing concierge services, and managing high-net-worth clients' requests. An individual who has a keen focus on detail and organisation, with proficiency in logistics and booking management, email and phone communication.
Role & Key Responsibilities:
● To support and manage your Dedicated members with their interests put first, ensuring all tasks are completed fully and accurately.
● Provide high-touch, personalised services to all patients, including VIPs, international patients, and those with complex medical needs.
● Maintain consistent communication with patients before, during, and after their visits to ensure they are well-informed and supported.
● Oversee patient appointment scheduling systems to ensure efficient booking and rescheduling, while maximising clinicians' availability and reducing no-shows. Previous experience of using Semble patient record system will be an advantage
● Follow our SOP's and guidelines to ensure service excellence.
● To input data correctly and securely into our Practice Management CRM, Semble.
● To support the process of electronic referrals.
● Act as a patient advocate, ensuring that all needs, questions, and concerns are addressed. Assist patients in understanding their treatment plans, making sure they feel confident and comfortable.
● Handle sensitive issues with discretion, empathy, and confidentiality, ensuring that patients' concerns are promptly and effectively resolved.
● Manage insurance claims on behalf of Members.
● Work proactively with all members of staff including directors and clinical staff to improve quality processes
Qualifications
● Degree (Preferred but not always required) and/or a background in medical administration
Experience
● Medical administration – At least 2-5 years
Compensation & Benefits:
3 days per week in stunning Mayfair office
2 day per week pre agreed from home
Base salary £32,000 pro rata
Plus 7% performance-based bonus, paid quarterly upon meeting targets of client satisfaction
