Job Summary

A Group Air Consultant must be experienced in booking Individual Air/Rail + Group Air/Rail travel, responsible for group movements ranging from 10 to 2000+ people.

This will involve research and negotiation with airlines & rail suppliers for group allocation of seats, agreeing to supplier contracts as well as managing the seats and keeping to the supplier’s deadlines, additionally, All groups will require experience of published IATA & consolidator individual fares bookable via the GDS (preferably Sabre).

All enquires will be managed through a defined process from meeting qualification call and initial proposal to post project financial reconciliation, respecting customer and American Express Meeting & Events standards, procedures and policies.

The Group Air Consultant may work on a range of client account types and teams including Consenting & Non Consenting Travel For Meetings (T4M) clients within UK Meetings & Events, CES and DOE events.

Key Strategic Focus

This role is focused on our “Retention Strategy.” All activity contributes to the the key responsibilities of overall client retention in terms of establishing a professional long term relationship, service excellence and account growth

Additional Strategic input

This role actively contributes to “Efficiency” and “Business Development Strategy” ensuring all processes followed are robust, that our activity and time management is efficient and that we all give attention to developing and growing our business.

Responsibilities

1. Management of multiple client’s events, from 10 people up to 1000’s including all aspects of T4M & Group Travel
2. Deliver outstanding service based on the clients Event Brief including research, budgets, policies, negotiation, and management of Suppliers
3. Planning, coordination, and execution of group Air travel
4. Communicate confidently amongst peers to share best practice
5. Achieve targeted financial results whilst delivering high quality service and demonstrate significant savings on client spend. Financial management throughout the life cycle of the booking.
6. Undertake continuous self-development and training.
7. Able to work on own initiative and within a team.
8. Negotiation (Financial, Contractual etc) with suppliers
9. Communication with booking owners
10. Accurate and timely data management
11. Logistical coordination of the event
12. Maximising of revenue per event and understanding of overall contribution to revenue and P&L
13. Budget reconciliation per event
14. Sound Company product knowledge and ability to cross sell products where possible
15. Financial and Data Reporting per event, per client
16. Additional duties as requested

Qualifications, Skills & Knowledge

17. Knowledge of the airline industry
18. Previous group or business travel experience preferred
19. Group and or published airline ticketing experience an advantage
20. GDS: Group and individual reservations: Sabre Preferable
21. MS Office user
22. Negotiation and contracting skills
23. Fluent Business English
24. Customer care excellence
25. Minimum of 1-3 years’ experience in Group or Individual Flight booking
26. Flexibility and Ability to adapt
27. Able to work well in a Team
28. Used to working under pressure
29. High level of attention to detail

Job specific tasks

The Group Air role contains all or some of the following tasks:

30. Understand and meet Client Service Level Agreements (SLA if applicable)
31. Qualifying call or email with enquiry owner to determine travel requirements
32. Identify appropriate transportation options according to client needs
33. Creation of Client Event Proposal
34. Follow R-Max preferred suppliers’ program
35. Communication with suppliers
36. Confirm and manage supplier deadlines
37. Reminders to customer on supplier deadlines
38. Negotiate Group fares and conditions
39. Secure enquiry owner approval on budget and terms & conditions of suppliers
40. Collect required data according to customer policies (POs…)
41. Secure contracts from suppliers to be signed if applicable
42. Sign contracts with suppliers
43. Utilising registration web site tools, capturing delegates’ information and sending flight offers/confirmations directly, managing delegate changes and updates is also an advantage.
