The Role? Due to continued growth, an opportunity has arisen for an experienced Sales & Hire Administrator to join our team on a full-time permanent basis Based in Bridge of Don Aberdeen. Primarily responsible for assisting to carry out administrative duties to support all client enquiries, you will liaise closely with the Sales & Hire Controllers to assist the quotation and conversion processes. The successful candidate will be proficient in the use of Microsoft Office, particularly Word and Excel, have an ability to multi-task and be highly organised. Previous experience within the hire industry and previous experience using InspHire is preferred but not essential. What will you do? This list does not represent an exhaustive list but indicates the main responsibilities the post holder is required to undertake: Assist to prepare and maintain paperwork in accordance with the company's Quality Management System. Assist to raise purchase orders for job related and non job related purchases, distributing as required. Assist to generate reports to monitor account activity, in accordance with company procedures. Assist to perform data entry within the company’s equipment management system, including on-hire and off hire of equipment. Ensure all scanned material is filed in accordance with company procedures, to enable easy retrieval of work packs. Assist to ensure compliance with the company's AVL procedures, communicating with the suppliers directly and notifying HSEQ as required. Assist to create and issue quotations within the company’s hire management system, allocating equipment to ensure correct stock levels are maintained. Assist to monitor quotations and ensure follow-up, highlighting any leads to Business Development. Administer the company's Equipment Management System, by maintaining pricing and commodity codes etc within the database as necessary. Responsible for preparing and issuing T-Cards in accordance with company procedures. Who are you? Are proficient in the use of Microsoft Office (e.g. Excel, Word, Outlook).
