Job overview
The post holder will work independently following CTMUHB policies, providing administrative and data analysis support to vaccination and Health Protection Services. Responsibilities include diary management, meeting notes, IT application use, data analysis, report creation, database setup, and dashboard input.
The role also involves monitoring inquiries, managing calls, maintaining records, arranging training, booking appointments, and supporting wider health protection activities. Effective communication with multidisciplinary teams, partner organizations, patients, and families is essential. Travel to multiple sites may be required.
Main duties
* Process vaccination and health protection information per policies.
* Develop and adapt web pages and reports.
* Analyze immunization data and interpret datasets.
* Liaise with health professionals and external agencies.
* Plan and adjust tasks as needed.
* Assign work to administrative staff daily.
* Support outreach vaccination and health protection initiatives.
* Manage information systems and statistical data collection.
* Handle rota and shift allocations for staff.
* Respond to inquiries and support team management.
* Complete risk assessments and perform general administrative tasks.

Person specification
Knowledge
* Knowledge of computer systems, hardware, software, or telephony, acquired through diploma or equivalent experience.
* Advanced keyboard and data manipulation skills.
* Knowledge of administrative practices, WIS system, and public health epidemiology.
* Understanding of primary care functions and immunization terminology.
* Ability to speak Welsh is desirable.
Experience & Skills
* Experience with data entry, analysis, and report writing.
* Ability to prioritize and adapt workload.
* Willingness and ability to travel across CTM.
