Job Title: Medical Administrator –
Hours: 16 hours - over 4 days - 4hours per day
Responsible to: Senior Practice Coordinator
Accountable to: GP Partners
Job Summary To input and maintain high quality data in required registers and systems. Providing support to the practice to ensure standards and targets are achieved.
Principle Responsibilities
· To summarise existing medical records on an ongoing basis. All records to be reviewed and morbidity and mortality data entered using appropriate SNOMED codes and according to practice protocols.
· To scan all restricted letters, any other letters or documents required concerned with patient care into clinical system and then to pass to the appropriate doctor.
· To administer the deletion of any letters scanned in error.
· To cover all administrative aspects of private medical reports to solicitors, insurance companies, employees and others. This will include entering data into the appropriate software, copying forms, sorting out any queries with GPs or patients, type relevant letters, posting letters, chasing any outstanding payments due.
· To deal with administration and all patient requests for viewing medical records.
· To enter some financial data as instructed by the Finance Coordinator into appropriate software.

· Contact Umar Sabat for any confidentiality or GDPR issues if necessary.
· Work with a cohort of identified patients to coordinate and navigate necessary personalised care requirements in line with PCSP best practice.
· Process relevant requests from hospital discharge letters, i.e. support with palliative care, safeguarding and relevant referrals.
· Help patients to manage needs, answering questions, supporting to make appointments, signposting to supporting agencies, i.e. training, employment and benefits.
· Ensure that patients have good quality information to help them make informed choices about their care.
· Ensure excellent communication channels with the patient and wider care system regarding patient progress.
· Liaise with multi agencies to coordinate pathways of patient care.
Pathology Links
· Collect and process unmatched pathology results – print of list to investigate any that cannot be explained.
Printer Toners and Drums
· To keep comprehensive and up to date records of printer toner and drums in surgery.
· To order when required new printer toners and drums
Competencies
· To maintain appropriate consideration, dignity and respect when dealing with patients or other callers to the surgery

· Ability to understand and make use of computerised information systems
· Ability to produce a variety of business documents using different methods of transcript.
