Assessment, Planning & Resource Officer

Location: London Road,SM4 5DX

Start Date: ASAP

Contract Duration: 3+ Months

Working Hours: Mon – Fri, 09:00 – 17:00, 37 Hours per week

Pay Rate: £19.42 per hour

Job Responsibilities

* Provide high-quality, statutory administrative and business support to service teams in the SEN and Disabilities Integrated Service (SENDIS).
* Carry out administrative tasks to support the setup, maintenance, transfer, and closure of client cases, including completing forms and reports for EHCP assessments and reviews.
* Create and maintain accurate computer records of client information, including client movements and changes in status.
* Set up purchase orders on the E5 finance system and process invoices accordingly.
* Provide statistical information and prepare monthly performance statistics for submission to the line manager.
* Process applications to foster and undertake all statutory checks required by the service.
* Liaise with GPs, Community Health, Local Authorities, and other agencies to ensure complete and satisfactory checks before presenting cases at the Adoption and Fostering Panel.
* Ensure accurate data input and checking on the Management Information System to maintain data quality.
* Respond to child protection and safeguarding calls and emails, ensuring pertinent information is recorded and escalated to management as needed.
* Manage and coordinate Team Manager diaries and appointments for optimal time utilization.
* Provide general business support, including document preparation, minute-taking, and dealing with inquiries from other departments and agencies.
* Support ongoing service development projects and performance improvement initiatives.
* Manage the approval and payment of Section 17 and Section 24 payments for clients in reception.
* Input invoices into the Council's financial records system and liaise with other services and departments to ensure smooth administration of the payments system.
* Attend department, divisional, and team meetings and process decisions as necessary.
* Offer training, advice, and guidance on administrative procedures and systems to professional staff and team members.
* Maintain stock control of office stationery and reorder stocks using an online system.
* Act as Fire Warden in accordance with local and corporate guidelines and procedures.
* Ensure compliance with Corporate and Departmental Health and Safety policies.
* Undertake duties and interactions fairly, without unlawful discrimination, and with regard to the Council's Diversity and Equality policies.

Person Specifications

* Good communication skills, both written and personal.
* Experience working as part of a team and understanding individual roles and responsibilities.
* Advanced ICT skills and effective use of specialist ICT packages.
* Accurate keyboard skills with attention to detail for data quality.
* Experience in performing a wide range of administrative tasks and following written policies and procedures.
* Ability to prioritize tasks for self and team, organizing a team's routine.
* Ability to understand legislation and follow written procedures and policies.
* Ability to deal sympathetically with clients who are angry or frustrated.
* Ability to handle sensitive, confidential, and sometimes distressing information.
* Excellent numeracy and literacy skills.
* Ability to take accurate, concise telephone messages and notes at meetings.
* Ability to plan, develop, and maintain office systems.
* Ability to collate and present information, including statistics and other data.
* Ability to meet deadlines and use initiative.
* Flexibility, methodical approach, and willingness to learn.
* Educated to at least GCSE level or equivalent, or NVQ Level 3 or equivalent qualification or experience in a relevant discipline.
