Event Operations team support
Carry out allocated tasks for awards and events to support the delivery, ensuring that everything is carried out to a high standard resulting in excellent customer experience.
* Working with Events team on their allocated events, providing event logistical support managing delegates/guests, providing confirmations, event information, chasing up outstanding details and always providing excellent customer service
* Managing shared inboxes and answering customer queries in a timely manner, escalating queries as required
* Build events entry/event platforms, run tests, make amends within timelines for event launch
* Proofing event collateral; signage, programme, event slide deck and videos.
* Raise POs and update numbers to budgets, invoices and send to accounts for processing as directed by the operations team
Awards live judging
* Manage a virtual/hybrid room each day during the live judging days (up to 7 consecutive days). Welcome the judges, brief them on running order and process
* Welcome each group of the short list and brief them on process and timing
* Troubleshoot technical issues on the day
* Keep room running to time and answer additional questions that judges, or short list might have
* Ensure judging scores and comments are completed before the end of the judging day
* Update documentation as required with winners, highly commended
Live Awards and Events
* For allocated events (up to two a month), join the staff briefing to understand roles and responsibilities when on site at the event
* Support the team with set-up of spaces as directed
* Support with registration and badge printing and/or checking-in guests on the event management platform
* Support on customer services answering customer queries as required
* Provide support to the team with venue management and/or supplier management as directed
* Follow the staff plan provided to ensure tasks and responsibilities are carried out at the correct time and to the right standard
* When the event finishes, support the team with breakdown and packing kit
* This will require UK travel and overnight stay on occasions
Additional responsibilities
* Report to the senior operations team any issues with tasks allocated
* Attend/support other HSJ events that the role isn’t necessarily working on to assist with virtual/on the day delivery. This may require UK travel and overnight stay
* Carry out additional tasks as requested by senior operations team or department which facilitate and support the growth of the events, which may not be specified in your job description
Salary: £30k - £32k (depending on experience)
