About the Role
The Field Engineering Assistant supports the effective operation of a dynamic engineering environment by maintaining accurate schedules, managing non-technical project data, and preparing operational reports using advanced Excel capability. This role ensures that scheduling information, project records, and workflow data are captured, structured, and delivered reliably to support engineering teams and leadership.
Based in Forfar, and supporting Field Engineering operations across the UK, Singapore and the Middle East, the position plays a critical role in coordinating non-technical project workflows, maintaining data integrity across multiple systems, and providing essential inputs to operational, scheduling, and financial processes. The role requires strong analytical skills, exceptional attention to detail, and the ability to work independently with minimal supervision.

Key Responsibilities
* Create and maintain non-technical project records within the CRM system.
* Coordinate project information and ensure accurate, timely updates across CRM, DMS, ERP-derived reports, and scheduling tools.
* Maintain schedules by updating weekly hours, job status, timesheet outcomes, and commercial document triggers (quotes, purchase orders, and invoices).
* Prepare recurring operational reports, dashboards, and KPIs using advanced Excel capabilities, including Power Query and data modelling.
* Validate and reconcile project data from multiple systems to ensure integrity, accuracy, and reliability.
* Support engineering teams by organising workflow information, updating project records, and ensuring correct progression through non-technical stages.
* Perform routine workflow checks, monitor outstanding project data, and ensure required information is captured.
* Liaise with Supply Chain, Finance, and Project Engineering to obtain or clarify required technical and commercial information.
* Store weekly hours, process timesheet data, and prepare supporting reports for engineering teams.
* Update project schedules based on commercial documentation, project status updates, and engineering inputs.
* Complete workflow tasks arising from internal meetings, including CRM and scheduling updates.
* Maintain project documentation within the DMS, ensuring revisions and supporting materials are controlled and current.
* Manage routine operational cycles such as invoice checks, order confirmations, review sheets, project logs, and internal work pattern tracking (holidays and remote working).
* Support the global organisation while remaining primarily focused on UK and Singapore Field Engineering operations.
Qualifications & Skills
Education:
* Qualification in Business, Project Support, Data Analysis, or a related discipline (preferred).
* Training or certification in project coordination or planning (desirable).
Experience:
* Experience supporting engineering or technical teams (preferred).
* Experience working in a high-volume, fast-paced environment (required).
* Experience handling CRM records and supporting non-technical project workflows.
* Experience using ERP-derived data for reporting or analysis.
* Demonstrated experience with advanced Excel-based reporting, including Power Query, data merging, transformation, and data mining (essential).
* Experience working with scheduling tools (e.g., Primavera P6) for updating and maintaining schedule data.
