Our healthcare teams resemble those of a community GP practice, with a specific healthcare building on the prison grounds. Our administration teams have their own office within the healthcare building and are made up of Admin Managers, PAs, Custodial Flow Coordinators, and Administrators.
We directly deliver Mental Health, Physical Health, Pharmacy, and Clinical Substance Misuse services within an integrated healthcare delivery model to provide effective and responsive care, improving wellbeing and supporting better outcomes.
As an Administration/PA at HMP Erlestoke, you will provide high-quality, confidential secretarial and administrative support to the Head of Healthcare and MDT. You will need to use independent judgement, work proactively without direct supervision, and prioritize your workload using your initiative.
Your Key Duties Will Include
1. Coordinating the administrative function to support efficient service delivery.
2. Managing diaries effectively—scheduling appointments, 1:1s, etc.
3. Handling email and telephone communications—monitoring emails daily, flagging urgent messages, screening calls, and passing on messages.
4. Maintaining clinical records and extracting data for reporting in SystmOne.
5. Supporting meetings—taking minutes, producing agendas, and distributing papers.
6. Acting as the first point of contact for the Head of Healthcare and other professionals—dealing with enquiries proactively.
7. Managing finance—approving invoices and raising purchase orders.
8. Dealing with complaints.
9. Reporting on personnel/HR matters—sickness, annual leave, rotas.
You will work in a small team overseeing two Administrators.
