Job Description

Role: Programme and Fellowships Coordinator – Higher Specialist Training

Duration: Permanent

Salary: €35,000

Reporting to: HST Postgraduate Training Manager

Closing Date: 3 April 2026 at 16:00

The role reports directly to the Higher Specialist Training Manager. The Programme and Fellowships coordinator will work closely with their Team Lead and Manager, and will be responsible for the day-to‑day administration of clinician facing payments and with the administration of trainee facing funding and ancillary supports. In addition this post will provide administrative support for some Higher Specialist Training specialties, post‑CSCST fellowships and the ICET programme. Please note that the scope and reporting line for this position is subject to change under Project Connect.

The appointee will be responsible for the following but are not limited to.

Key Tasks:

* Assist with the establishment, implementation and maintenance of appropriate policies and procedures for the effective administration of the role.
* Manage clinician facing payments including monthly payments to HST and BST NSDs, Programme Directors, Regional Specialty Advisors, GIM STC Members within the Training architecture.
* Manage clinician payments to Faculty Officers – BST and HST Associate Directors, Director of Training and Dean of Postgraduate Specialist Training - IOM, Director of Training – Paediatrics; Pathology and Obstetrics and Gynaecology.
* Manage clinician payments monthly for the International NSD and International Clinical Leads.
* Manage the administration of trainee facing funding – Specialist Training Fund.
* Management and processing of clinician expense forms.
* Maintain personnel files and data records for all of the above stakeholders.
* Engage with staff in relation to payment and processing issues, including the timely onboarding and offboarding of appointed clinicians.
* Initiate and participate in continuous improvement initiatives and change projects including the Connect Project.
* Provide administrative support for post‑CSCST Fellowships.
* Provide administrative support for the ICET programme.
* Provide administrative support for a small number of Higher Specialist Training Specialties; inclusive of ePortfolio support, facilitation of STC meetings and trainee annual assessments and other tasks in line with the training annual cycle.
