Description
The primary role of the Search Agent is to collect data from the Local Authority to provide answers to questions that form part of the document packs we provide to our clients - law firms/solicitors/conveyancers.
Accuracy and quality are key to this role to produce a comprehensive local search to the company standard that is compliant with PCCB guidelines.
Data is collected in a number of formats that are available online or require visits to council offices, Land Charges and other Local Authority departments in and around the locality. Our customers work to strict timescales to facilitate the house buying process and so time management, prioritisation and a strong work ethic will ensure you're successful in this position
Key Responsibilities
* Produce accurate Dye & Durham RLAS searches within the required standardised format
* Researching and collating data direct from Local Authorities and other sources.
* Ensure all internal process documents relating to accessing data with local authorities are maintained with correct information.
* Review received search order data to identify errors or inaccuracies that could impact the
result of the Dye & Durham RLAS search.
- Booking/attending appointments and liaising with Local Authority colleagues where required
for specific local authorities.
- Providing data in handwritten format that is legible and can be interpreted by other
colleagues and teams where required for specific local authorities.
- Keying data into online search production systems.
- Checking data for accuracy to maintain outstanding levels of quality control.
- Producing searches in line with our specific turnaround times.
- Adhering to all standardisation, process and procedure requirements.
- Produce searches within the specified KPI objectives.
- Constantly reviewing alternative methods to obtain data that is quicker or more accurate.
- Working to understand the intricacies of multiple councils as the workload increases.
- Attend one to one and team meetings as required.
- Use all standard office 365 communication methods.
- Liaise with correct teams to raise and or responded to queries.
Skills, Knowledge & Expertise
* Must possess excellent written and oral communication skills.
* Build professional working relationships with other search agents and Local Authority colleagues.
* Understand the overall conveyancing process, or a desire to learn
* Capable of self-managing and trouble shooting.
* Good organisation skills.
* Full UK driving license.
* Experience of effectively coordinating a large workload.
* Strong level of competency with Office 365 products.
