Building Supervisor (with supervision)

Job Purpose
To provide on‑site supervision, cleaning and non‑cleaning services under the direction of the designated line manager or other authorised person and in accordance with the practices and procedures of the Education Authority.
Responsibilities
* Security
o Security of the premises and its contents.
o Open and close premises and grounds (except where authorised otherwise).
o Ensure windows, doors and gates are locked at end of each day.
o Safe custody and allocation of keys to cleaning staff where appropriate.
o Operate and monitor security camera system and change/tape usage as required.
o Operate fire, burglar and building security systems and report faults.
o Attend after‑hour breaks for vandalism and secure the premises; clean and report any unauthorised entry or damage.
o Report suspicious activity and breaches of security immediately.
o Apply grit/rock salt during snow and frost to keep pathways and entrances clear.
* Mechanical and Electrical Services
o Ensure efficient operation of boiler/heating for value and energy conservation.
o Maintain lighting and heating of premises, including common services.
o Requisition fuel in a timely manner and monitor consumption of fuel, water and electricity.
o Replace lamps, tubes and plugs up to a height of 3.35 m with appropriate equipment.
o Inspect and report defects on firefighting equipment.
o Chemically dose, clean and maintain water levels of swimming or hydrotherapy pools.
* Cleaning
o Clean all premises except areas used solely for school meals.
o Plan, organise and control cleaning staff work to meet Education Authority standards.
o Coordinate periodic cleaning work with service users and report plans.
o Recommend and implement improvements to work procedures.
o Monitor suitability of cleaning materials and advise if inappropriate.
o Keep hard surfaces, paths and ornamental grounds clean and free of litter.
o Ensure drains, gullies and grease‑traps run freely; remove obstructions up to 3.35 m.
o Maintain and clean bins, including school meals bins; empty litter bins daily.
o Provide ongoing cleaning for spills, floods, midday toilet cleaning and other weather‑related tasks.
o Replenish toilet rolls, soap, paper towels and other requisites during the day.
o Inspect and manage sandpits and paddling pools.
o Clean external signs, light covers, notices and non‑electrical fittings on portable equipment.
o Ensure adequate supplies of materials and meet budget allocations.
o Report any cleaning equipment defects.
o Prepare premises for after‑school activities and normal school use.
o Direct and clean all internal fixed glass surfaces up to 3.35 m safely.
o Ensure cleaning staff wear PPE or workwear where provided.
o Investigate complaints about cleaning and advise the line manager as required.
* Porterage
o Receive and transport stores, materials and goods, including school meals items.
o Dispatch laundry, goods and other materials from the building.
o Assist with setting out and removing tables and chairs for food or educational purposes.
o Transport all refuse bins to and from the collection point.
o Prepare rooms for examinations and other purposes.
* Administration
o Prepare reports on cleaning and defects.
o Authorise use of outside contractors or workmen and monitor their work.
o Complete paperwork and write reports as required.
o Maintain records of consumable stocks and equipment inventory.
o Report defects in electrical floor equipment and maintain repair records.
o Maintain staff attendance, holiday and absence records.
* Handyperson Duties
o Perform tasks within the competence of the post‑holder.
* General Conditions
o All duties carried out in compliance with Health and Safety at Work (NI) Order 1978, Acts of Parliament, Statutory Instruments, COSHH Regulations and Codes of Practice.
* Training
o Accept training for duties up to and including current grade.
o Accept higher‑grade training where required; payment provided only when such duties are to be carried out.
o Provide induction and refresher training of cleaning staff and keep records.
* Elections
o Carry out duties related to election use of premises as directed by the joint negotiating committee.
* Other Duties
o Perform duties within the grade as required.
Qualifications
* Minimum six months experience as assistant building supervisor, building supervisor, caretaker or cleaner in a school environment.
* Experience supervising staff.
* Key holder able to respond to call‑outs at short notice, including unsociable hours.
* Demonstrable knowledge of school building supervisor role, health and safety regulations, manual handling and use of security systems.
* Effective people‑management, teamwork and communication skills.
* Administrative, planning and decision‑making skills to meet deadlines.
* Alignment of approach with the school’s values and ethos.
Desirable Qualifications
* NEBOSH Health and Safety at Work qualification or equivalent.
* Experience using industrial cleaning equipment.
* Experience with key holding duties, opening/closing premises and alarm systems.
