Overview
Please note: This is a fixed-term contract for 12 months. In your new role as a Supply Chain Co-ordinator, you will be working within our TSOC office with the Helpdesk team. Your duties will include:
Responsibilities
* Raising work orders through contact centre
* Creating VRF forms and updating the VRF tracker
* Submitting VRF to the client and chasing approval
* Track quotes received to ensure we have processed in the 30 day period allotted
* Creating Purchase Orders on Maximo 7.6 and SAP
* Liaising with site teams, subcontractors, and suppliers
* Goods receipting once items received or service complete
* Action requests from finance for any invoices stuck in VIM and escalate where necessary
* Ensuring completed works are in MANBILL for finance to process
* Attend weekly/monthly meetings/conference calls as required
* Update internal and external databases and administration systems as required
* Accurately file both manually and electronically as per business policy and procedures
* Ownership of data systems to ensure records are maintained and processes followed as appropriate
* Have a flexible approach to business support to ensure deadlines are achieved

What we are looking for
* Administration experience essential
* Relevant experience of Microsoft packages - must have good working knowledge of Excel
* Excellent data entry skills
* A knowledge of facilities management sectors is desirable
* Ability to manage own time and prioritise workload
* Relationship building skills - self-starter who can work well within a team and support/guide team members as required
* Ability to work on own initiative to a high level of accuracy and to meet deadlines
* Customer care - capable of delivering results and exceeding customer expectations
* Ability to generate, develop and present ideas and suggestions for improvements to achieve more effective working practices
* Attention to detail
* Well presented, professional appearance and attitude with a positive and professional approach
* Excellent time keeping skills and strong planning and organisational ability
* Excellent written and spoken communication skills
* Discretion in dealing with confidential information
* You will be required to complete BPSS check before you start
