Job Description
This is a varied, fast-paced role combining front-of-house responsibilities with facilities coordination and administrative support.
Key Responsibilities
On a typical day, the Facilities Assistant will undertake a mix of the following activities:
1. Act as a first point of contact, welcoming visitors and supporting their on-site experience
2. Manage the Facilities Management mailbox, responding to queries and directing requests appropriately
3. Coordinate meeting room bookings, setup requirements, and porterage requests
4. Log, track, and oversee reactive maintenance issues and planned preventative maintenance (PPM) visits
5. Support new starter inductions, including Health & Safety and environmental briefings
6. Escort contractors on site and ensure full compliance with site procedures and safety requirements
7. Support audits, compliance checks, and general FM administration
8. Maintain accurate records and documentation to support facilities operations

9. Previous experience in an administrative, facilities, or customer-focused environment
10. Strong customer service and interpersonal skills
11. Ability to work effectively in a fast-paced, dynamic environment
12. Clear and confident communication skills, both written and verbal
13. A proactive, problem-solving mindset with attention to detail
14. Strong organisational skills and the ability to prioritise tasks
15. A collaborative team player with a flexible approach to work
