Role Description
We’re looking for a warm, organised, and proactive Receptionist / Office Coordinator to be the first point of contact for clients and help the practice run smoothly day to day. You’ll balance receptionist duties with looking after the office and administrative tasks.
Key Responsibilities
* Open and set up the practice each day ensuring rooms and common areas are tidy, stocked, and client‑ready.
* Greet clients with professionalism and care, ensuring an exceptional front‑of‑house experience.
* Answer phones and manage enquiries, directing calls, taking messages, and handling email inbox overflow.
* Process payments accurately and maintain up‑to‑date records in the practice management system.
* Manage card capture for automatic payments.
* Prepare refreshments (tea and coffee) and maintain kitchen/common areas.
* Coordinate the new referrals process in collaboration with the Head of Referrals.
* Keep the office stocked with supplies and stationary.
* Assist the admin team with practice management tasks (scheduling, basic data entry, vendor coordination, invoice chasing).
* Handle ad‑hoc therapist requests.
* Maintain the smooth running of the office handling anything from liaising between suppliers, troubleshooting technical issues and facilities related tasks.
Skills and Experience
* Previous experience in reception, front‑of‑house, or administrative roles (healthcare or professional services a plus).
* Excellent communication and client‑care skills; calm and confident on the phone.
* Strong organisation and attention to detail; able to juggle multiple tasks.
* Comfortable with basic finance admin (taking payments, receipts).
* Proficient with standard office software and willing to learn practice management tools.
* Discreet and dependable, with a strong sense of professionalism and confidentiality.

* Reliable, punctual, and proactive—spots what needs doing without being asked.
* Team player who’s happy to roll up sleeves and help where needed.
Practicalities
* Hours: 8:30–5:30, Mon–Fri
