We currently have an exciting opportunity for an Administrator to join our Children & Young People’s Child & Adolescent Mental Health Service (CAMHS) based in Severn Fields Health Village, Shrewsbury. CAMHS provides emotional well‑being and mental health services for children and young people (ages 0 to 25) in Shropshire, Telford, and Wrekin. The role would require you to work 37.5 hours per week (Monday to Friday) 9.00 am to 5.00 pm.

In the role you will be working as part of a team along with Administrative Assistants and Medical and Clinical Administrators.

You will be expected to be able to use your own initiative and judgement, although you will be well supported by other Mental Health Admin staff and through the clinical and professional networks accessible through the CAMHS teams. The administration offices are busy, and the role is challenging but it is also rewarding, where you will be carrying out duties such as updating patient admin system (RiO), filing, photocopying, and scanning. You will also be required to manage and deal with calls from service users, families, carers, and other professionals.

Main duties of the job

* To accurately maintain and keep secure patient health and staff records/systems in line with policy and standard operating procedure, to ensure data quality, confidentiality, and compliance with the current Data Protection Law.
* Maintain strict confidentiality regarding information concerning patients, staff, and sensitive Trust Business at all times.
* To carry out reception duties including meeting and greeting service users, carers, relatives, and visitors, as requested by the Admin Team Leader.
* Handle incoming and outgoing telephone calls in a polite and efficient manner. Receive and deal with telephone enquiries referring telephone queries to a more senior colleague where appropriate. Taking accurate messages and passing them to the appropriate person in a timely manner.
* Type a range of documents including emailed requests, copy typing and audio transcription (via T-Pro digital dictation system) generated by the CAMHS teams.
* Prioritise own workload and meet deadlines in order to meet the requirements of the post.
* Regular data entry and booking of appointments for service users on the clinical patient administration system, RiO.
* Take / transcribe minutes as required and at the request of the Admin Team Leader.


Qualifications & Training

* NVQ Level 2 in Business Administration (or equivalent level of administrative experience).
* Possesses a good standard of general education.
* Minimum 1 year admin experience.


Experience

* Relevant experience of working in an office environment.
* Relevant experience of undertaking office procedures with minimal supervision.
* Dealing with the public.
* Previous experience of working within the NHS.
* Experience of using RiO or a patient clinical system.


Skills, Knowledge & Abilities

* Proficient in the use of computer packages, including Microsoft Office.
* Ability to produce documents and reports to a high standard from handwritten and audio transcription.
* Ability to prioritise workload in order to meet conflicting demands and deadlines.
* Ability to work on own initiative.
* Demonstrate an understanding of the importance of effective teamwork.
* Understanding of the importance of confidentiality and maintaining confidentiality.
* Demonstrate effective verbal and written communication.
* Excellent telephone skills.
* Willing to travel to other locations as and when required.
* Customer Service Skills.
