Overview

2x Waiting List Co-Ordinator posts, 37.5 hours, 8:30 - 17:00 (2x 15 mins, 1x 30 min break). We are looking to appoint an enthusiastic and motivated individual to fill the post of a Waiting List Coordinator within the Patient Access Services at New Cross Hospital. Experience of PAS is preferred, but administration/clerical experience with keyboard and data entry will be considered.


Responsibilities

* To co-ordinate the day to day management and maintenance of the inpatient/day case waiting lists in accordance with the Patient Access Policy.
* To select cases for theatre lists within given guidelines, ensuring national and local targets are met.
* To replace cancellations, as necessary, with like-for-like cases or within guidelines, while considering national targets for waiting times.
* To advise patients on stopping specific medications and inform them of fasting requirements with scheduling of theatre sessions; where required to send bowel preparation instructions to patients.
* Deal with patient enquiries regarding cancellations, rescheduling, holiday bookings and suspensions.
* Contact patients to agree a convenient admission date in line with booked admissions.
* Notify patients of pre-operative assessment appointments.
* Manage and monitor patients suspended, RTT clock paused or on watchful waiting; validate suspension length and reason and reinstate as appropriate.
* Liaise with clinicians regarding scheduling to ensure full utilisation of theatre lists.
* Produce operating lists for sessions and circulate to designated areas with any special instructions.
* Inform theatre staff of specialist equipment required and arrange for representatives to be present at time of surgery.
* Accurately input, update and monitor patient information in the computerised Patient Administration System.
* Report and keep records of patients cancelled on the day of surgery to re-date within 28 days national target.
* Prepare weekly lists of elective admissions in an accurate and timely manner.
* Prepare case notes to comply with Standard Order of Case Notes and ensure relevant investigation reports are available.
* Ensure the security of case notes and patient information within the department.
* Ensure timely delivery of case notes to pre-operative assessment clinics and admission areas with relevant test reports.
* Work with Medical Secretarial and Health Records clerks to support the Directorate efficiently.
* Process all incoming and outgoing mail promptly and professionally.
* Collect relevant statistical data relating to patient activity.
* Be involved with procedural changes and provide information/case notes as requested by Medical Staff.
* Mentor newly recruited Waiting List staff and introduce them to working practices within the Department.
* Maintain security arrangements and distribute keys as required.
* Cover in the absence of colleagues when needed and attend mandatory training as directed by Managers.


Qualifications

* Essential: GCSE (or equivalent) in four subjects, including English.
* Essential: NVQ Level 3 or equivalent Health Records experience.


Experience/Skills

* Essential: Clerical experience.
* Essential: Computer literate with excellent keyboard skills and a high level of accuracy.
* Essential: Knowledge of databases, spreadsheets (PAS, Outlook, Radiology Database, Excel or similar).
* Essential: Basic knowledge of medical terminology.
