Senior Administrator

Westminster Wealth Management LLP – London: Hybrid, 2 days in office (flexible).


Main Purpose of Role

To provide proactive and detail-focused administrative support to an IFA and his team with HNW and UHNW clients, enabling smooth operations and helping to drive business growth.

Role Overview

We are seeking an experienced administrator to join a high‑performing team within Westminster Wealth Management. This individual will play a key role in supporting the day‑to‑day administrative needs of the team, managing complex documentation, and ensuring compliance processes are followed. You will work closely with advisers, clients, and providers, helping to maintain an excellent reputation for service and professionalism.


Key Responsibilities

* Manage Letters of Authority: issue, chase, and collate responses from providers.
* Coordinate documentation for new business across a wide range of financial products.
* Accurately log advice cases in Intelligent Office (IO) and maintain up‑to‑date client records.
* Prepare and submit cases for compliance approval, including protection, investment, and pension business.
* Generate annual charges data reports across multiple providers to support review processes.
* Maintain oversight of all active cases, ensuring timely progression and regular updates to the team.
* Manage adviser diaries, schedule client appointments, and liaise directly with clients when required.
* Carry out general administrative support, including document preparation, data entry, and file management.


Required Skills & Experience

* Minimum 5 years in a professional administrative role.
* Willingness to develop and expand responsibilities.
* Previous experience working with high‑net‑worth individuals.
* Highly organized with strong time and task management skills.
* Polished telephone manner, good communication skills and professional presentation.
* Proficient in Microsoft Word, Excel, and Outlook.


Desirable Experience (Not Essential)

* Use of Intelligent Office (IO)
* Familiarity with FE Analytics and Voyant
* Understanding of technical financial concepts such as trusts and tax‑efficient investments (e.g. VCTs)
