Position: Events & Sponsorship Co-ordinator
Based: London / Part Remote, requiring attendance/ running some events in person, working 24 hours per week
Basic starting salary £27k - 20 days' holiday (pro-rata) plus bank holidays.

Overview:
Highly organised, proactive and confident communicator, you will coordinate VAA events, partnerships and sponsorship activity to support member engagement, community growth and revenue generation.
Working in a fast-paced environment, this role is ideal for someone with 2+ years’ experience in events, partnerships or sponsorship, who enjoys building relationships and delivering high-quality events and initiatives.
Role & Main Duties:
* Creating and coordinating all VAA events and courses (internal, external and networking), including setting up creatives and publishing
* Attending regular in-person meetings in London and occasionally other UK locations
* Sourcing and building relationships with speakers for events and courses, and liaising with partner organisations
* Sourcing and coordinating judging panels for art prizes (VAO, AOY, Art100), including relationship management with judges and associated organisations
* Identifying and building relationships with artists, collectives and organisations (e.g. Art Trails, Open Studios, Art Fairs)
* Maintaining ongoing communication with partners and artist networks, sharing monthly updates on VAA opportunities, events and offers
* Developing partnerships and sourcing sponsorship opportunities aligned with VAA activities
* Presenting at events and preparing supporting presentations and materials
* Creating promotional assets and offer creatives for events and partnerships
* Coordinating event content and managing post-event follow-up
* Organising networking events, including annual flagship and team events
* Assisting in coordinating and attending the VAO Finalist Show in London, and other Art Prize events
* Managing and updating contact databases and directories
* Maintaining accurate and timely records across all activities using Notion platform
* Coordinating the annual schedule of events and projects, ensuring clear communication across the team
* Researching and developing new event ideas, engaging with prospective partners and handling related enquiries
* Providing support to members and non-members with event-related queries
Partnerships & Sponsorships:
You will take ownership of maintaining and developing VAA partnerships and sponsorships, working closely with events and wider organisational activity.
This includes identifying new opportunities, building long-term relationships, and managing collaborations with speakers, partners and sponsors. The role requires ongoing communication, organisation and strategic thinking to maximise value from each partnership.
Skills and qualifications:
· Relevant experience in events, partnerships, sponsorship or similar role
· Strong organisational skills with the ability to manage multiple projects simultaneously
· Excellent communication and relationship-building skills
· Confident presenter with the ability to engage audiences
· Proactive and self-motivated, with a problem-solving mindset
· Commercial awareness and ability to identify partnership opportunities
· High attention to detail and strong administrative skills
Experience with:
· Event planning and coordination (virtual and in-person)
· Partnership development and stakeholder management
· Working with artists, creative organisations or cultural partners, ideally to have arts-based knowledge and of the industry in London.
· CRM systems and database management (e.g. Notion)
· Event platforms and tools (e.g. Eventbrite)
· Creating presentations and promotional materials (Canva)
· Cross-team collaboration, particularly with marketing
