Administrative Support Officer, Band 3 (18 hours a week)

Gloucestershire Hospitals NHS Trust is offering an exciting opportunity for an Administrative Support Officer to join the Gloucestershire Bowel Cancer Screening team.

The team are responsible for arranging and undertaking diagnostic tests for patients that have had a positive bowel cancer screening test across Gloucestershire. An Administrative Support Officer is required to support our busy team.


Main duties of the job

* Provide comprehensive administrative support to the Bowel Cancer Screening Team.
* Answer non‑clinical queries from patients, team members and other departments, using initiative to resolve enquiries in a professional manner, providing accurate information or redirecting enquiries as appropriate to ensure they are responded to in a timely manner.
* Ensure new referrals are processed promptly; ensuring that patient information is accurately inputted into the correct systems, preparing clinic packs and ordering notes.
* Monitor clinics and theatre lists across both sites; ensuring lists are accurate and patient information is accurately input. Support the Programme Manager to ensure that clinics and lists are effectively utilised.
* Ensure that patients are processed through the correct administrative pathway. To be responsible for booking, cancelling or changing appointments, and accurately recording the outcomes of appointments.
* Responsible for maintaining both manual and electronic filing systems and databases; ensuring all patient medical records passing through the department are booked in and out appropriately, and that all relevant documents are readily accessible.
* Support the Programme Manager with the collection and organisation of data for audits.
* Order stationery and office supplies for the team using the Trust's procurement system.
* Organise own day‑to‑day tasks or activities.

Person Specification


Qualifications, Skills and Experience

* GCSE grade C or above (or equivalent) in English or Maths
* Keyboard skills to RSA II or equivalent level of skills.
* Appropriate administrative or secretarial experience within the NHS or other health and social care setting.
* Experience and skills in using the standard Microsoft Office programs, particularly Word, Excel and Outlook.
* Able to communicate effectively with a broad range of stakeholders.
* Effective organisational and prioritisation skills.
* A high level of accuracy and attention to detail.
* Ability to work as part of a team.
* Able to work under pressure to meet deadlines.
* Able to demonstrate ongoing personal development and a willingness to undertake any training as needed.
* Experience of working in a relevant field, such as another Bowel Cancer Screening team or endoscopy.
* Experience of using hospital ICT systems, including Trakcare and Medilogik.
