Purpose of the Post:
To coordinate and oversee the upkeep, safety, and compliance of KEMP Hospice’s facilities and operations. The role holds responsibility for statutory health & safety, fire compliance, facilities records, audits, and the coordination of routine and reactive maintenance across all sites.
A critical part of the role is maintaining all compliance paperwork, inspection logs, and facilities documentation to ensure that evidence of due diligence is always available, up to date, and ready to present during inspections or audits. This underpins the safety of the environment and supports our regulatory obligations.
As part of the People & Operations Team, the postholder will manage the development and maintenance of the compliance section within our HRIS system (Vantage), deliver training, carry out minor maintenance tasks, and support broader operational activity. Flexibility to assist with People Team tasks (e.g. absence cover or project support) is essential, with the same reciprocal support provided in return.
Main Duties & Responsibilities:
Health & Safety and Fire Compliance:
* Maintain and regularly review KEMP’s Health & Safety Policy and procedures in line with HSE, CQC, and local authority requirements.
* Act as the named Fire Safety Coordinator for hospice premises.
* Develop, manage, and update the health & safety and fire compliance section ofVantage, ensuring key documents, risk assessments, training logs, and audit records are up to date and accessible.
* Deliver relevant training sessions (e.g. fire safety, COSHH awareness, compliance refresher sessions).
* Coordinate and report on regular site inspections and audits; support departments to address any actions arising.
* Maintain oversight of a wide range of compliance checks, including:
* Fire alarms, extinguishers, and fire drills
* Emergency equipment (e.g. lifeline and heart start kits)
* Wheelchairs, ladders, water quality and asbestos
* PAT testing, fixed wiring, and servicing schedules
* Support shop-based teams and managers with fire safety records and follow-up actions.
* Monitor compliance with COSHH regulations, ensuring risk assessments and safety data are in place and relevant staff are trained.
* Recruit and monitor First Aiders and ensure first aid boxes are regularly stocked.
* Ensure health & safety signage is current, appropriate, and in place at all sites.
Facilities Coordination and Assurance:
* Coordinate facilities tasks across all KEMP sites, supporting a safe, clean, and functional environment for all team members, patients, visitors, contractors, and customers.
* Act as the first point of contact for all site-based maintenance issues, logging requests, and arranging suitable contractor attendance for reactive and planned maintenance.
* Undertake basic handyperson tasks where appropriate, e.g. touching up paintwork, fixing locks, handles, and minor furniture repair, changing door codes and replacing signage, hanging noticeboards and adjusting desks, cupboards, or fittings etc.
* Maintain comprehensive and accurate documentation for all statutory inspections, checks, servicing schedules, and facilities records. Ensure these are organised, accessible, and kept fully up to date to meet audit and inspection standards.
* Manage the facilities compliance log and asset register.
* Monitor and file certificates, reports, and insurance documents from external contractors and service providers.
* Provide assurance to senior leaders by producing clear evidence of compliance and due diligence across all areas.
* Advise on waste storage and transportation arrangements in line with regulations.
Risk Management and Assurance Reporting:
* Maintain and review a centralised log of clinical, office, and retail risk assessments.
* Log and monitor incidents, near misses, and accidents; support investigations and organisational learning.
* Produce compliance reports, dashboards, and summary updates for the CEO, SLT, and Board.
* Monitor compliance KPIs and contribute to the organisational risk register.
* Keep up to date with relevant legal and regulatory changes; share updates with the SLT and Fire, Health & Safety Group.
Cross-Team Working:
* As part of the People & Operations Team, provide flexible support across functions, including assisting with HR or operational tasks during periods of high workload, holiday, or project delivery.
* Participate in organisation-wide initiatives, working collaboratively to improve systems, training, and culture across KEMP.
Person Specification:
Experience
* Experience in a health & safety or facilities coordination role
* Experience managing statutory records and audits
* Experience using a compliance or asset management system (e.g. Vantage)
Skills & Abilities
* Strong organisational and record-keeping skills
* Proficient in Microsoft Office and confident with digital systems
* Ability to manage multiple tasks and compliance deadlines
* Able to produce clear, concise reports for senior leadership
Knowledge
* Working knowledge of HSE regulations, fire safety, and risk management
* Understanding of compliance requirements such as RIDDOR, COSHH, PAT testing, and Legionella
* Awareness of policy and training record requirements
Qualifications
* IOSH Managing Safely or equivalent (or willingness to achieve)
* Willingness to complete relevant refresher or system training (e.g. Vantage)
