Portico is looking for an organised, proactive, and customer-focused Reservations & Events Coordinator to join our team at the London offices of a prestigious global financial services client.

About the Role
As the Reservations & Events Coordinator, you will take ownership of all meeting room and event bookings across the client's London office. Acting as the central point of contact for reservation requests, you will ensure bookings are managed efficiently, accurately, and in line with client procedures.
Working closely with internal stakeholders, vendors, and the Conference Services team, you will coordinate booking requirements, maximise space utilisation, and ensure a seamless reservations experience for all users.
This role is ideal for someone with previous reservations, conference services, or meeting room booking experience who enjoys working in a fast-paced environment and takes pride in delivering exceptional customer service.

Key Responsibilities
* Manage all meeting room, conference, and event reservations using the client's booking systems.
* Act as the primary point of contact for booking enquiries and reservation requests.
* Process bookings accurately and within agreed service levels.
* Maximise utilisation of meeting and event spaces through effective diary management.
* Communicate booking confirmations, amendments, and cancellations to stakeholders.
* Coordinate reservation requirements with internal teams and approved vendors.
* Maintain accurate booking records, schedules, and reporting data.
* Support financial administration, including invoice validation and cost allocation.
* Build strong relationships with clients, colleagues, and service partners.
* Ensure all bookings comply with site policies and booking guidelines.
What We're Looking For
* Previous experience within reservations, conference services, meeting room bookings, or events administration.
* Experience gained within a corporate environment, financial services organisation, law firm, conference venue, or luxury hospitality setting.
* Excellent organisational and administrative skills.
* Strong attention to detail and accuracy.
* Outstanding communication and stakeholder management skills.
* Experience using reservations or room booking systems.
* Good working knowledge of Microsoft Office.
* A proactive, professional, and customer-focused approach.
