We are currently recruiting for a Defleet Assistant on behalf of a well-established, nationally operating business based in Chesterfield. This is a permanent role offering a long-term career path within a larger organisation, while working as part of a close-knit, supportive team.
About the Role
This is a varied and rewarding role at the heart of the defleet process. It’s ideal for someone who enjoys structure but variety. This is a critical role in keeping vehicle operations compliant, efficient and well-documented
Every day will bring something new. But the goal is always the same! Keeping everything running efficiently and compliantly.
You’ll play a key part in supporting internal teams with the smooth running of managing the key vehicle defleet management processes. If you have experience in the automotive, motor trade, or fleet industry, that’s a bonus — but it’s not essential. What matters most is a great attitude and a willingness to learn.
Key Responsibilities:
Processing V5s, DVLA returns, and RFL renewals
Updating vehicle valuations and CAP data
Managing shared inboxes and incoming queries
Handling post, compliance checks, and overdue actions
Collaborating with colleagues to meet deadlines and team objectives
Creating and chasing accurate invoicing and Option to Purchase (O2P) paperwork

The ideal candidate will have:
A willingness to learn, adapt, and get involved in all aspects of the role
Confidence and self-motivation, with the ability to use initiative
Strong written and verbal communication skills
A positive approach to problem-solving and decision-making
Previous experience in Fleet or the Motor Trade (desirable, not essential)
Excellent attention to detail and a high level of organisation
Calm under pressure, with a positive, can-do attitude

Working Hours
Mon–Wed: 09:00–15:30 (30-min lunch)
Thu–Fri: 08:30–17:30 (1-hour lunch)
