A fabulous opportunity has opened up to join our Administration Team here at Gullane Medical Practice. We are a small rural practice with a patient list size of just above 6,000. We provide GP consultations along with a range of other services to local residents. The Practice team consists of 3 GP Partners, 3 Salaried GPs, 2 Practice Nurses, 1 Health Care Assistant, 1 Phlebotomist, Business Manager, Office Manager and 10 administrative staff. Our Practice IT systems are Vision and Docman.

We are seeking an Administrator / Clinical Coder who thrives in a fast-paced, collaborative environment. Your ability to ensure consistent, high-quality coding will directly support our commitment to delivering outstanding patient care.
Administrator / Medical Receptionist Key Responsibilities
1. Undertake a wide range of administrative duties with a view to providing excellent patient care and support to our clinical team
2. Excellent patient facing and telephone manner, good administrative skills and is well organised, calm under pressure, with a sense of humour
3. Flexible approach to work and can work effectively as part of a team
4. Excellent IT skills, and experience using Microsoft office packages is essential
Clinical Coder Key Responsibilities
5. Coding and Data Management: Accurately summarise and read code patient records, hospital correspondence, and other data sources into our clinical (Vision) and Docman systems, ensuring adherence to protocols.
6. Team Development: Contribute to improving the quality of data collection and administrative processes.
7. Daily Administration: Triaging clinical letters and managing patient records
8. Audits and Quality Assurance: Conduct quality checks and identify discrepancies to maintain accurate patient records.
9. Workflow Optimisation: Assist in clinical documentation review and the improvement of practice workflows.
10. Compliance: Adhere to coding requirements for Enhanced Services (ES) and Public Health Management (PHM).
Essential Skills and Qualifications
11. Experience with VISION and clinical coding protocols.
12. Good working knowledge of medical terminology.
13. NAT 5 (or equivalent) in literacy and numeracy, or relevant work-based experience.
14. Strong communication skills and ability to interact with a variety of people.
15. Patient-focused, with empathy and compassion when handling queries.
Preferred Skills
16. Clinical Coding Qualification/training.
17. Previous experience in a similar role.
