The successful incumbent will ensure execution of the preventative maintenance plan. Capture job cards for reactive maintenance tasks. Follow-up and update all job cards. Ensure management of critical spares including ordering of spares and consumables. Budget preparation and tracking. Perform various administrative duties and reporting within the scope of the department that include but is not limited to Leak free declarations, energy management, budgets, procurement and the job card system. Minimum requirements: Grade 12 and Diploma in administration or equivalent 2 years relevant experience Health and Safety (advantageous) Fluent in English Technical / Maintenance knowledge Inventory Control Computer literacy, Advanced Excel Budgeting & Cost Management knowledge Own Transport Required skills: Customer Service orientated and Brand Conscious Productivity focused and disciplined Organizational skills and Process Orientated Analytical thinking Positive attitude and assertive Structured and Logical thinking Focus on Continuous Improvement and Problem solving Attention to detail and Deadline driven Communication and Team work Role and responsibilities: Daily processing of job cards issued and completed on the job card system. Daily, weekly, monthly: Coordinate, track and control preventative maintenance schedule, action and completion thereof. Improve and maintain stock management system to ensure the integrity and accuracy thereof. Coordinate with the Production and Maintenance teams to ensure records related to inventory are properly maintained. Ensure critical spares stock on hand is sufficient, controlled and tracked Perform stock counts weekly and monthly Investigate, resolve and report shortfalls and surplus stocks Perform purchasing function Ensure all critical spares are ordered on time and stock is managed and expenses recorded. Monitor and evaluate consumables usage Assist with preparation of budgets. Monthly tracking of expenses against budget and forecast. Compile daily, weekly, monthly graphs and reports on Productivity and Efficiency of the maintenance department, including the Job Card System, preventative maintenance, breakdowns and downtime. Daily supervision and implementation of internal controls to ensure adherence to policies and procedures. Ensure all product traceability information is accurate and complete monthly Document Management and Record Control Prepare for and attend all meetings your role requires, and prepare minutes of these meetings.
