Role: Operations Assistant

We're looking for a highly organised, proactive, and tech-savvy Operations Assistant who can take control of the day-to-day workflow - streamlining processes, managing communications, and enabling the founder to focus on strategic growth.
This is a stand-out opportunity to become the operational heartbeat of a growing property compliance business that partners with leading developers and architects across the UK.
What You’ll Be Doing:
* Oversee day-to-day ops: from quoting and invoicing (via Xero) to subcontractor liaison and client follow-ups
* Own and maintain the CRM (HubSpot) – moving leads through the funnel, keeping tasks up to date, and ensuring a smooth journey from enquiry to project delivery
* Manage the director’s inbox and diary, schedule appointments, and support with travel, meetings, and PA tasks
* Coordinate inbound sales calls and respond to client queries about services, timelines, and pricing
* Handle document and report flow – from gathering pre-survey paperwork to storing final certificates
* Chase outstanding info and quotes, liaise with subcontractors on availability, and issue work orders
* Bookkeeping support – uploading receipts to Xero and working with the accountant
* Create, embed, and eventually record SOPs and process flows to help standardise and scale internal operations

What We’re Looking For:
* A natural organiser who thrives in a varied, fast-paced role
* Solution minded - have a desire to find a way to get things done
* Experience wearing a number of hats - juggling admin, customer service, and a little bit of finance
* Strong working knowledge of cloud tools like Xero, HubSpot, and GSuite/Excel
* Confident communicator, both written and verbal, with a professional phone manner
* A process improver - someone who spots inefficiencies and enjoys creating structure
* Comfortable working autonomously and taking ownership from day one
