Senior administrator - respiratory physiology

Job summary

To update the Respiratory Co-ordinator on clinic capacity. To appoint diagnostic outpatients from GP and Consultant referrals for appropriate investigations in order of clinical need. Maintain a waiting list of patients waiting for investigations, who can't be appointed straight away. Appoint extra clinics to help bring the waiting times down to be acceptable level. Answering telephone queries and if necessary transferring calls to an appropriate member of staff. To cover reception when needed. To order office stationery when needed. To undertake other clerical duties as required, appropriate to the grading. Work within the constraints of the DATA Protection Act and attend all mandatory training as required.

Main duties of the job

* Supervise the admin staff to provide high quality support to admin and clinical staff when needed.
* Train admin staff on cancel and rebooking patients, putting patients on the waiting list, booking from the waiting list.
* Provide support to the Respiratory Co-ordinator when needed.
* Assist the Respiratory Co-ordinator with clinic maintenance and the DM01, when needed.
* Have action plans in place regarding breach patients.

Person Specification

Qualifications

Essential

* Education to GCSE or equivalent. Maths and English grades A-C essential
* RSA stage III typing or proven keyboard skills.
* Microsoft office including excel and PowerPoint

Desirable

* Secretarial qualifications and medical secretary qualifications
* Minute taking qualification

Skills and experience

Essential

* Experience of a range of work procedures and practices
* Minimum 2 years secretarial experience or working for and within a team.
* Able to prioritise workload and meet deadlines using own initiative
* Able to remain calm in a busy environment when working under pressure
* Able to make judgements involving a range of facts, that require analysis.
* Ability to organise a number of complex activities.
* Good interpersonal skills.
* Excellent organisations skills

Desirable

* Previous experience of NHS
* Skills in NHS computer software
* Audio typing, 50 wpm minimum
* Experience of managing patient pathways and waiting lists

Personal/professional attributes

Essential

* Previous experience customer service, Office and Secretary

Desirable

* Customer Service Course
* To contribute to the improvement of the quality of service provide
