About the Role

Bath Spa University Press is seeking a Graduate Publishing Coordinator who is comfortable working with data, documentation, and contracts as they engage with writers, editors, and designers. It is a role for a graduate who understands creative practice and enjoys coordinating people, processes, and expectations so that ambitious publishing projects are delivered professionally, efficiently and with integrity. Working across Bath Spa University Press and the EMBLAZE Imprint, the Coordinator will ensure that commissioning, production and reporting processes are robust, transparent and well‑managed, enabling creative work to flourish within clear and sustainable frameworks.

The Coordinator will support Bath Spa University Press and the EMBLAZE Imprint by ensuring that ideas, talent and creative work move efficiently and professionally through the commissioning and production process. The role primarily involves coordinating: stewarding data, documentation, and contracts; maintaining accurate records and audit trails; and ensuring that authors, editors, designers and printers are clear about expectations, deliverables, timelines and compliance requirements. Day‑to‑day tasks include coordinating submission and commissioning processes, preparing and tracking contributor agreements (SEEDs) and supplier contracts, monitoring project milestones, managing peer review workflows, and maintaining structured databases of talent and suppliers.

The Coordinator will liaise regularly with contributors and partners, draft clear briefs and process documentation, track audience and financial data, and contribute to formal reporting and public‑facing updates. Working closely with Steering Groups, Editorial Boards, and colleagues across the University, the post‑holder will scaffold creative ambition with robust systems, ensuring publications are delivered to a high professional standard and in line with agreed budgets, governance and quality expectations.

(This is a 18‑month Full Time Fixed Term Role)


About You

We are looking for a graduate who combines creative fluency with exceptional organisational capability and professional confidence. The ideal candidate understands how publishing and creative projects develop from concept to dissemination and is equally motivated by building the structures that allow others to do their best work. They will be methodical, detail‑oriented and comfortable working with data, contracts and financial information, maintaining accurate records and progressing multiple live projects simultaneously. Strong written and verbal communication skills are essential.


Qualifications

* Evidence of understanding publishing or creative production processes, including how projects move from concept through commissioning and delivery, as demonstrated through study, employment or extracurricular activity.
* Demonstrable experience of coordinating projects, processes or activities involving multiple stakeholders, maintaining timelines and clarifying expectations.
* Evidence of strong organisational skills, including experience of managing data, documentation, records or project tracking systems (e.g. spreadsheets, databases or shared digital platforms).
* Evidence of clear and professional written communication, including drafting formal documentation, reports, briefs or structured correspondence.
* Demonstrable ability to manage competing priorities with accuracy and attention to detail.
* Experience of working with external contributors, freelance talent or suppliers in a professional or administrative capacity.
* Experience of handling contractual documentation, financial tracking or compliance‑related processes.
* Experience of supporting submission, review or commissioning processes in an academic, publishing or creative context.
* Experience of contributing to audience engagement tracking, reporting or structured evaluation of projects.
* Evidence of working within a role that required balancing collaborative working with accountability for progressing defined workflows.
