Workshop Administrator Role
Responsible for workshop administration, including scheduling jobs, monitoring progress, updating customers, and maintaining processes. Monitor KPIs and performance reports. Oversee workload distribution to technicians.
Work closely with the Regional Service Manager to ensure efficient workshop operations and excellent customer service.
Location:
* In 2026: at the new NEWNHAM depot near BALDOCK, Hertfordshire SG7 5DP
* In 2025: at the current Cromer depot near Stevenage, Hertfordshire SG2 7QA
Key Responsibilities
1. Welcome customers and listen carefully to their needs.
2. Distribute workload to team members based on their skills.
3. Answer calls, handle queries, or direct to relevant parties.
4. Inform customers about job timings, progress, and bill updates.
5. Schedule site visits and communicate timings.
6. Gather repair data before engineer visits and record on job cards.
7. Input job stories and verify completed jobs for accuracy in parts and labor.
8. Process invoicing and credits for the workshop.
9. Ensure warranty forms are submitted to the Warranty Manager on time.
10. Manage Work In Progress to meet current goals.
11. Schedule work and assign jobs to technicians based on their skills.
12. Follow and enforce service processes, policies, and safety guidelines.
13. Assist the Regional Service Manager in reviewing workshop performance and addressing issues.
14. Help analyze profitability and labor utilization to maintain efficiency and profitability.
15. Participate in out-of-hours on-call rota.
Skills & Qualifications
* Background in engineering or customer-focused roles.
* Workshop experience and familiarity with technicians is preferred.
* Excellent communication skills, adaptable to different audiences.
* Organized and able to remain calm under pressure.
* Confident, curious, and eager to develop skills.
* Proficient in IT and Microsoft applications.
