Administrative Clinical Support Officer (INTERNAL)
The post holder provides high-quality administrative and operational support for the management of radiology results across Acute Medicine and the Emergency Department (ED). A core function is the administrative triage, tracking, and escalation of radiology results (X-ray, CT, MRI, ultrasound) to ensure timely clinical oversight, supporting patient safety and effective flow across urgent care services.
The post holder will also provide cross-cover for Medical Secretaries, ensuring continuity of secretarial and administrative functions during absence or peak workload.
The role requires independence, accuracy, strong communication, and excellent understanding of acute patient flow and diagnostic pathways.
Main duties of the job
* Review and monitor radiology reports throughout the day using PACS/RIS/EPR systems.
* Identify results requiring urgent or unexpected clinical attention and escalate according to Trust protocols.
* Direct routine and abnormal results to the appropriate clinician (ED consultant, Acute Medicine registrar, SDEC team, GP liaison, etc.).
* Maintain robust tracking systems, ensuring no report remains unreviewed or unallocated.
* Resolve missing, delayed, or incorrect reports through liaison with Radiology.
* Provide administrative support for ED, SDEC and Acute Medical Unit operational teams.
* Manage departmental inboxes, phone lines and general enquiries, ensuring timely responses.
* Support patient flow by preparing documents, updating patient information, and tracking care actions in EPR.
* Prepare agendas, attend meetings, take accurate minutes and distribute documentation.
* Assist with monitoring performance indicators (diagnostic waits, turnaround times).
* Maintain, update, and accurately manage the Radiology escalations on the Consultant Spreadsheet for Acute and Emergency Medicine, ensuring all consultant allocations and escalation responsibilities are captured.
Person Specification
* Good general education and GCSE in English and Mathematics or equivalent.
* Secretarial Qualification or relevant experience.
* RSA Stage 3 Typing/Word Processing or equivalent.

* Proficient in typing (audio)/word processing.
* Ability to effectively communicate both orally and in writing with a wide range of people.
* Excellent telephone manner.
* Ability to deal with situations tactfully.

Experience
* Previous secretarial experience or equivalent.
