Overview
To work as part of the administration team providing comprehensive administration/reception services including phone duties, data input, scanning, managing and receiving telephone calls and messages, ensuring effective communication and courtesy. The post holder will act as an ambassador for the service, be the first point of contact, and require a high degree of flexibility. The role provides administration and reception duties and supports other departments as required at the direction of the Administration Team Leader/Senior Administrator Matron or Senior Sister.
Main duties of the job
* Provide reception service, alerting staff to potential urgent issues.
* Process, update, and transmit patient data using the relevant computer system. Liaise with nurse specialist.
* Check patient notes for personal details, demographics, and safeguarding alerts when they arrive for appointments.
* Undertake scanning on behalf of the UTC/MIU team.
* Scan and print CAS Card to go to nurse with any relevant alerts.
* Register overseas patients and copy ID, email overseas team documentation.
* Be responsible for patients' wellbeing whilst in waiting areas.
* Check outcomes have been completed on the relevant computer system and refer for fracture clinic if an appointment is required.
* Book appointments for X-ray patients using the computerised system and check in on arrival if relevant.
* Cross-reference returned CAS Cards to ensure all have been returned, uploaded and filed as required.
* Email the Escalation form on closure of UTC/MIU.
* Be responsible for locking the hospital front doors and securing the waiting area if relevant.
* Receive calls, take messages, and distribute accordingly.
* Responsible for giving out and receiving keys, ensuring they are accounted for at the end of the shift if relevant.
* Deal with sensitive information.
* Provide advice to patients on non-clinical issues.
* Booking transport (taxis) for patients.
* Potentially dealing with aggressive patients and complex overseas patients.

Qualifications
* Business & Administration/Customer Service Level 2 qualification or equivalent experience in working in administration or prepared to undertake within agreed time scale.
* Evidence of administrative knowledge and skills equivalent to the level of qualification.
* Good general standard of education to GCSE level 4 or equivalent.
* Excellent IT skills, e.g. Microsoft Word, Excel
Experience
* Previous administrative experience and working as part of a team.
* Previous experience of working face to face with the public in a busy environment, preferably frontline.
Desirable
* Health Care Sector administrative experience
