Job Summary
We are looking for an Office Manager to join our friendly team based in our Borough Green head office. This varied and interesting role is integral to the smooth running of the business, and includes responsibility for the running of the office, looking after the CEO, HR, buying, marketing and general admin.

Responsibilities
Office Management/Miscellaneous
· Organising meetings, travel, hotels and work events
· CEO diary management and expenses
· Main point of contact for the office
· Organising flowers and gifts for employees/clients
· Printing A1 drawings and posting when required
· Distribution of post and taking post to post office
· Copying, binding and filing of any contracts
· Boxing up any archive paperwork and organising collections when required
· Organising servicing/repairs to company van and office ie. photocopier, air con etc.
· Any other duties deemed suitable for the role as required by the business
Human Resources
· Ensuring job descriptions are kept up to date
· Putting together formal job offers
· Liaising with IT re email addresses, laptops, phones etc.
· Undertaking HR inductions, right to work checks and proof of qualifications
· Liaising with Accounts for all new starters and leavers
· Ensuring the Training plan is kept up to date
· Identifying and organising training courses
· Responsible for the HR System (BrightHR) – starters/leavers, holidays, sickness etc
· Keeping updated with any changes in employment law and updating or producing new policies to reflect the changes
· Keeping Senior Management team updated on any changes.
· Liaising/advising Managers on performance management/disciplinaries/ grievances
Buying
· Requesting quotes from companies for fixings, consumables, PPE, stationery etc.
· Raising PO's and sending to relevant suppliers
· Researching the web for companies that can supply unusual items competitively
· Organising screwfix orders for collection and delivery
· Ensuring sufficient supplies of stationery, spare PPE, coffee, tea etc in the head office
· Organising delivery of site set up items for new projects
· Liaising with Rainsford driver/site managers for deliveries/collections
· Organising return of unwanted materials
· Placing web orders
· Organising skips and transportation of materials to site.
· Collating invoices for credit card transactions for Accounts
Marketing
· Responding to PQQ questionnaires
· Downloading tenders and any addendums and creating new job number
· Ensuring that Constructionline, Achilles and CHAS accreditation questionnaires are updated
· Registering any relevant projects on FIRAS and liaising with QS's for required documentation for annual audits
· Creating project case studies
· Creating Company CV's
· Ensuring Organisations are up to date
· Liaising with Marketing Manager for any updated material or branding
· Organising Rainsford branded items
· Creating capability statements

· A relevant HR qualification would be preferred (however training will be provided)
· Excellent computer skills (word, powerpoint, Adobe)
Job Types: Full-time, Permanent
Pay: £35,000.00-£40,000.00 per year
