Overview
We are looking for an experienced multi-tasker with excellent communication skills and a consistent upbeat attitude. Candidates should be able to assist management to the company by handling a variety of office facilities tasks and project management. We are currently recruiting for an IFM Co-Ordinator to join the team at Cambridge, Science Park. The successful candidate will support the IFM Manager & Admin team in delivering a proactive administration model to support the development of the contract across all services.
Responsibilities
* IFM supplier/contractor communication (Campus/Office). Responsibilities include but are not limited to the daily contract management, daily operation communication with site team and IFM suppliers.
* Assisting with Tenants management, including the lease contract management, service fee management (including the utility fee), daily communication, dispute management, and facility management.
* Assisting with project management of campus/office, e.g. the office decoration project, office relocation project, and other small renovation projects.
* Assisting with supplier management including contract management, KPI management, cooperation relationship management and so on.
* Office environment management, including space management and daily operations of each office, track the repair requests and monitor the progress till full delivery of the service. Ensure all PPMs are scheduled correctly and carried out on time to meet requirements.
Qualifications
* The ideal candidate should be professional, attentive with a good understanding of processes and attention to detail. They should be prepared and responsive, willing to meet challenges directly and be responsible for the result. The candidate must be a team player comfortable with computers, including Excel, PowerPoint and Word, and proficient in both business English written and verbal communication. The role suits a result-oriented, resourceful all-rounder with a genuine desire to meet the needs of others.
* Experience: IFM coordinator/assistant with no less than 1 year of experience. Supplier management or team management experience with at least 1 year.
* Skills: Good communication ability; Fluency in English (written and spoken); Good command of MS Office (Word, Excel, PowerPoint, Outlook); Team spirit, openness for an international environment; Result-driven attitude; Well-organized and structured working style; Ability to work within tight deadlines; Flexible and willing to adapt to changing business needs.
* Desirable: Relevant background or specialized qualification in Facility and/or Construction Management; Relevant EHS qualifications; RE-related qualifications preferred. Language skills: Predominately English, Mandarin a plus. IOSH Certification; Familiar with IFM related compliance.
