The Patient Services Division is seeking an enthusiastic person to join the clinic management team.
Key Responsibilities
* Monitor and review outpatient parameters.
* Manage clinic templates, including processing requests for additional clinics and handling clinic cancellations.
* Ensure outpatient capacity and resources are identified and coordinated between the booking team and front‑line clinic staff.
* Liaise with team leader to coordinate extra capacity and communicate capacity issues to divisional colleagues.
* Expert on the non‑admitted and diagnostic 18‑week pathway; ensure timely patient treatment, liaise with RTT trackers and booking centre to maintain fair booking.
* Maintain high levels of patient care and client satisfaction as an accessible and knowledgeable point of contact within the Central booking team.
* Process changes to outpatient template requests and add new permanent or ad‑hoc templates, securing appropriate divisional and outpatient management authorisation.
* Receive and process all trust requests for clinic cancellations, liaise with trackers and team leader to assess impact on RTT, and advise on corrective action.
* Maximise clinic utilisation by optimising slots, rooms and other resources; convert slots to follow‑up when appropriate.
* Act as clinic broker for all trust clinic rooms, ensuring all resources are booked and parties informed.
* Schedule patients in accordance with NHS Constitution and Health and Social Care Bill 2011 principles; expedite pathways, reschedule cancellations and record them per trust policy.
* Monitor lost capacity and devise improvement strategies for the team.
* Coordinate ad‑hoc clinic requests for main outpatient services; liaise with multidisciplinary team, including General Managers, Heads of Nursing, service managers, divisional specialty admin staff, OP matron and OP sisters.
* Populate, maintain and update clinic timetables in liaison with OP sisters and service manager to ensure up‑to‑date information.
* Assist in the rollout of electronic room booking systems for outpatients.
* Assist in the production and distribution of standing and ad‑hoc reports.
* Assist in monitoring and auditing charging schedules from NHS properties regarding offsite clinics.
* Prepare and collate statistical information as required and input it to the database in accordance with trust requirements.
