IFM Coordinator

About the Role
We are seeking a proactive, detail-oriented IFM (Integrated Facilities Management) Coordinator to support operations across our client’s Cambridge campus. Working closely with the IFM Manager and Admin team, you will ensure the smooth delivery of daily operations, supplier management, project support, and office environment optimization. Key Responsibilities
* Act as the key communication link between the IFM team, campus tenants, and third-party suppliers.
* Oversee daily contract and supplier management for facilities services (e.g., maintenance, cleaning, security, utilities).
* Support tenant lease administration, including lease records, service fee invoicing (including utilities), and day-to-day communications.
* Assist in dispute resolution and general facility management.
* Coordinate campus and office projects, including office fit-outs, relocations, and minor renovation works.
* Monitor and track facilities service requests, ensuring prompt and effective resolution.
* Ensure all Planned Preventative Maintenance (PPM) schedules are accurately maintained and completed on time.
* Support supplier performance tracking through KPIs, service reviews, and relationship management.
* Help manage space allocation and office environment planning.
* Assist with Health & Safety compliance and service quality audits where necessary.
Person Specification
Required:
* At least 1 year of experience in facilities coordination, supplier management, or IFM support.
* Strong communication and interpersonal skills, with the ability to engage confidently with internal and external stakeholders.
* Fluent in English (written and spoken).
* Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook).
* Strong organizational skills and ability to manage multiple tasks under pressure.
* Detail-oriented and results-driven with a hands-on attitude.
* Comfortable working both independently and within a team environment.
* Flexibility to adapt to changing priorities and business needs.
Desirable:
* Educational background or certification in Facilities Management, Construction Management, or Health & Safety.
* Relevant EHS (Environment, Health and Safety) training or certifications.
* Knowledge of RE (Real Estate) lease and contract management processes.
* Fluency in Mandarin would be a strong advantage.
* IOSH Managing Safely certification or similar is highly desirable.
