Job Description Your mission is to act as a business partner and force multiplier for the CEO and key members of the Executive Team. You will provide seamless, forward-thinking executive support that anticipates needs and clears the path for our leaders to focus on driving Bicycle’s mission. As a highly experienced EA, you will set the standard for administrative excellence across the company, acting as a key mentor and coordination point for the EA community and driving the function forward through your own world-class performance. Working Arrangement: To best support our executive team and act as a key connector for our colleagues, this role requires a regular on-site presence with the CEO and other Executives and will be based on-site in our Cambridge office. Flexibility to travel to London and other sites occasionally may be required. Your Responsibilities: Strategic Executive Partnership: Provides comprehensive, proactive administrative and coordination support to the CEO and other executives. You will be responsible for expertly managing their schedule to ensure their time is protected and optimised according to business priorities set with the Chief of Staff. Expertly manage and triage complex, fluid calendars for the CEO, Chief Corporate Development Officer (CCDO), Chief Legal Officer (CLO), and Chief of Staff, anticipating conflicts and making high-level judgment calls to protect their time. Arrange complex international travel, itineraries, and meeting logistics, ensuring every detail is flawlessly executed. Prepare agendas, briefing materials, and coordinate presentations for key executive meetings. Manage and submit accurate and timely expense reports on behalf of the executives. Serve as a key gatekeeper and point of contact for the executive office, handling confidential information with the utmost discretion. Board & Governance Coordination: Lead and manage all coordination for Board of Directors meetings, Committee meetings and related activities, including scheduling, support preparation and distribution of materials, and all logistical arrangements. Administrative Excellence & Coordination: Act as the central point of coordination and collaborative partner for the Executive Assistant team, organising cover for holidays and sickness to ensure continuous, high-quality support for all leaders. Serve as a mentor and role model for the EA community, encouraging sharing best practices and improved ways of working, coaching colleagues to elevate the capabilities of the entire function. Proactively identify and implement new tools, systems, and processes to improve efficiency and collaboration across the administrative team. Independently lead and manage key projects on behalf of the executive office and Chief of Staff. Provide dedicated operational support to the Legal team, including organising team meetings and assisting with the administration of our Contract Management System (CMS). Manage the executive signature process for critical corporate and clinical contract documentation, ensuring timeliness and compliance. Provide flexible, ad hoc administrative and project support to the wider executive team and other key functions as business priorities demand. Data / Insight: You provide foresight and strategic interpretation of executive priorities and scheduling conflicts to make informed decisions that optimise the leadership team's time and focus. Knowledge Sharing: You act as a catalyst for collaboration within the EA community, actively fostering an environment of shared knowledge, enabling the team to actively identify new tools and processes. Job Complexity: Task / Project Delivery: You oversee a complex portfolio of executive support activities and lead strategic projects on behalf of the Chief of Staff and executive team. Problem-Solving: You resolve complex organisational challenges in scheduling and logistics, often anticipating issues before they arise and navigating sensitive situations with diplomacy. Strategic Impact: You directly shape the effectiveness of the executive team by ensuring their time is aligned with the company's highest strategic priorities. Independence: Autonomy: You operate with broad independence, setting direction for administrative priorities and reliably making high-level judgment calls on behalf of the executives you support. Decision-Making: You make high-impact decisions with long-term implications, such as managing executive commitments and resolving conflicting priorities. Leadership / Mentorship: You act as a senior mentor and coach for the EA community, raising the bar for the entire function through your expertise and guidance.
