Job Summary We are seeking a part-time administrator for our church building, which serves a diverse and growing range of local groups, with many regular bookings and occasional hirers. You will play a key role, based in the church office on site, handling all bookings and and working with others ensuring our premises are well maintained and publicised. You will work closely with the Church Secretary, Minister, and others as we serve those around us and continue our journey as a friendly, open and welcoming church. Note that this is a 20-hour contract, the salary will be pro-rata to £27,000 per annum for full time. Duties Manage the whole room hiring process, responding to enquiries, arranging viewings of church rooms, liaising with existing hirers, updating the booking schedule, sending contracts and other paperwork and ensuring this is completed and logged. Create and send invoices, inputting hiring data to the church accounting system. Administer church keys and access fobs, maintaining an adequate supply for loan to hirers and handling and recording collections and returns. Post information on church Facebook account, website and noticeboards and send out information to local groups, promoting our own activities and selected hirers events eg concerts etc. Undertake Health and Safety checks as directed, eg weekly fire alarm test. Keep log of regular servicing/maintenance needs and arrange services as required. Liaise with engineers and tradespeople contracted to carry out work on site and undertake other tasks to keep the buildings in best condition. Provide general administrative tasks support, eg designing and printing flyers, printing orders of service and similar, tidying noticeboards, dealing with lost property, purchasing office supplies. Support special events that use the building, eg Henleaze Christmas Festival. Requirements Good interpersonal and communication skills. Friendly personality and excellent communicator in person, on the phone and by email. IT literate, with experience of Microsoft applications, especially Word, Excel and Outlook. Strong attention to detail in undertaking administrative tasks. Ability to work largely unsupervised but also with others as part of a team. Awareness of issues surrounding data protection, confidentiality and safeguarding, willing to follow all relevant policies and procedures of the church. Experience in data entry to accounting systems eg Quickbooks, and prior experience of managing hirers/lettings or of building management, would be desirable. It is not necessary for the post-holder to be a Christian but they must be in sympathy with the aims and culture of Trinity Henleaze URC.
