Responsibilities
* First point of contact for the Director of Women's Services and the wider team, handling telephone calls, emails, correspondence, and in‑person enquiries, and providing advice on a wide range of matters, resolving or referring them to the appropriate person.
* Schedules and arranges meetings, compiles agendas, and transcribes formal minutes.
* Manages the diary of the Director of Women's Services, including scheduling and rescheduling appointments.
* Provides a Senior Secretary role to the Director and Service Managers: diary management, travel arrangements, meeting arrangements, monitoring the Director’s Microsoft Outlook inbox, flagging urgent issues and replying on behalf or forwarding emails.
* Responsible for arranging workshops, training events and large conferences with internal and external attendees: booking speakers, venues, catering, IT systems, coordinating presentations, designing and producing programmes and flyers, promotion, registration of attendees, and feedback collection.
Qualifications
* RSA III / NVQ 3 qualification or equivalent.
* Diploma in Office Administration or experience to diploma level.
* Typewriting/word‑processing qualification.
* Advanced knowledge of word‑processing, spreadsheet and presentation packages.
* Ability to take minutes.
* NVQ or equivalent in Administration (Desirable).
* Comprehensive knowledge of Windows, Word, Excel, PowerPoint.
* Experience at a high level providing a comprehensive administrative/PA service.
* Previous experience of working as an Administrator/PA to an Executive Director or equivalent (Desirable).
* Previous experience within the NHS; Excellent communication skills.
* Ability to work unsupervised and make decisions.
* Organisation skills.
* Welsh Language Skills (Desirable).
