Overview
Senior Medical Secretary – Respiratory. Provide high‑quality medical secretarial and administrative services as part of the Respiratory Department. The role covers maternity leave and is a fixed‑term (9 months) position at 30 hours per week, band 4.
Key Responsibilities
* Provide efficient administrative support to clinicians, meeting internal and external performance indicators.
* Line‑manage staff within the department, handling sickness absence, appraisals, recruitment, annual leave cover, standing operating procedures, technology changes and MDT management.
* Support identified clinicians with diary management, software systems, meetings, rotas, leave and associated cover, teaching, training, performance and induction.
* Investigate and collate information for DATIX incidents and complaints.
* Oversee patient pathways (RTT, diagnostics, cancer) for nominated clinicians, calculate referral‑to‑treatment dates, monitor progress, liaise with waiting‑list team and manage inter‑provider referrals.
* Run nominated clinics, maximise capacity, cancel or reschedule appointments, arrange urgent patient appointments within one week and ensure service‑level agreements are met.
* Act as the main point of contact for patient and third‑party queries, including clinicians, GPs, police, social care and legal teams.
* Assist with performance reporting and resolution of complaints (e.g., DATIX).
* Provide transcription and typing of communications, reports and correspondence within trust‑contracted timescales.
* Monitor expenditure for delegated budget (e.g., stationery, timesheets).
Qualifications – Essential
* NVQ Level 3 Certificate in Business Administration or equivalent experience.
* RSA Level 3 in Typing or Word Processing or equivalent experience.
Qualifications – Desirable
* Audio‑typing certificate.
Experience – Essential
* Experience working in NHS or healthcare environment.
* Experience in a secretarial or office environment.
* Proficient in Microsoft Office packages.
* Experience solving non‑routine issues.
* Experience transcribing formal minutes and creating databases/spreadsheets.
* Experience dealing with difficult patients or carers.
* Experience supervising or managing staff.
Experience – Desirable
* Audio‑typing experience.
Contract & Salary
Pay: £28,392 to £31,157 per annum (band 4). Fixed‑term contract of 9 months, part‑time (30 hours per week).
