Responsibilities
:
Conference planning and coordination:
? Assist in the planning and coordination of all aspects of conferences, seminars, and events
? Liaise with venue, delegates and suppliers for booking and logistics. ? Coordinate registration processes, including handling delegate inquiries and bookings
? Manage queries, check Healthy Equity inbox and respond to them in a timely manner
? Maintain delegate list and list of speakers and workshop leads
? Key point of contact for delegates and suppliers
? Prepare and maintain event documentation (e.g. delegate lists, signage, agenda)
? Track and monitor event budgets, capture spend and raise Purchase Orders
? Maintain folders and documentation ensuring version control
? Support with identifying and working with volunteers within the sector
? Assist in drafting promotional materials, emails, and post-event communications.
? On-site support leading to and on the day of event including setting up for the event, preparing badges, taking materials to the event, registration desk management and delivery of tasks according to agenda
? Troubleshoot and resolve issues as they arise
? Post-Summit: Coordinate feedback collection from attendees and support with event report.
Person Specification:
Experience:
? Previous administrative experience
? Knowledge of working in NW London and with ICB stakeholders
? Experience working with event management software (e.g., Eventbrite) is desirable. Skills and competencies:
? Excellent organisational and time-management skills.
? Ability to work under pressure and meet deadlines
? Strong written and verbal communication abilities.
? Good attention to detail and ability to multitask.
? Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint).
? Effective organiser and networker
? Professional calm and efficient manner
? Ability to work on their own initiative and in a team
? Completer/Finisher Other Requirements:
? Willingness to work flexible hours in particular on the day of the event
? Ability to travel to NW London ICB office and conference venue as and when required.
