We have a great opportunity for a Workplace Services Coordinator to support our Workplace Services Team in delivering a 5-star service to internal customers.
The role is based on-site in our central Bristol office, providing cover between 8am and 5pm, with potential visits to other UK offices.
The Role
You will focus on physical (including incoming & outgoing post) and Digital Mail processes, ensuring efficient, confidential, and accurate handling of mail records. Responsibilities include incoming and outgoing postal duties, supporting boardrooms and building management, and providing professional support to OC and Business Services. Training will be provided for various IT systems, First Aid, Fire Marshal responsibilities, Evac Chair, IOSH Working Safely, and Manual Handling.
Key Responsibilities
* Handle all aspects of daily post processing according to operating procedures.
* Maintain audit trails and ensure records are up-to-date for Digital Mail System.
* Ensure prompt availability of post to requestors.
* Respond to requests and queries within SLAs, including mail investigations.
* Process incoming post: batch, scan, and maintain records.
* Manage outgoing post via Royal Mail and couriers.
* Perform administrative tasks and handle mailbox queries.
* Assist with boardroom support, including desk duties, switchboard, meeting room bookings, and room moves/events.
* Support day-to-day operational tasks of Workplace Services.
* Provide a welcoming, professional customer experience and foster strong relationships.
* Maintain cleanliness and liaise with Landlord Agents regarding building systems and common areas.
* Undertake additional duties as required and actively pursue personal development.
* Ensure compliance with SLAs and contribute to continuous improvement.
* Support positive internal and external client relationships.
