Job Summary and Key Responsibilities
Key Responsibilities:
* Procedural Management
* Work closely with the Procedural Manager to constantly review, enhance and develop day to day processes within the letting business
* Manage and create Lettings Protocol, guides, training literature and information sheets to be used internally and externally throughout the lettings business ensuring that documentation, including PropCo letters, are up to date at all times and is in line with procedures, processes and legislation.
* Assist with the management and amending of essential business specific documentation such as Letting Authority, Terms of Business etc. Liaise with other Departments and external bodies such as Solicitors to ensure legal and risk compliance.
* Support the implementation of new processes, branch set up, branding and documentation following the successful completion of acquisitions
* Proof read any documentation due to be published by the P&I team to ensure accuracy and consistency.
* Liaise with other Departments such as Lettings Support, Marketing and external Web providers
* Manage internal webpage content ensuring that it serves the lettings business and ensure that the platform for P&I is a beacon for information and knowledge.
* Assist in the updating of portals to ensure wording is consistent with printed documentation but also matches the functionality of the portal
* Projects
* Assist in or carrying out any special projects, research, troubleshooting or investigative duties, with the utmost discretion
* Be prepared to learn new systems/databases/practices in order to aid role out to lettings business
* General
* Highlight any procedural or policy updates, amendments, queries or discrepancies
* Assisting with the management and release of company email notifications and bulletins as well as external releases via the Portals
* Help Desk – managing tickets, covering basic requests, overseeing ticket response times, chasing responses and reporting of stats etc
* Managing of external sites such as DocuSign and Hive etc dealing with user queries and documentation, acquisition set up and housekeeping
* Help manage New Starters and Leavers reports, setting up and closing off database access
* Bespoke data projects. Preparing spreadsheets for release (collating, slicers, pivot tables etc)
* Ensure key providers have up to date branch details / staff users as required (i.e. OVO TDS, Fixflo etc)
* Display and follow good company practices and policies at all times.
What are we looking for:
* Lettings or Property Management experience
* Good IT Skills including good knowledge of Word and Excel
* Good creative writing skills with great attention to detail
* Knowledge of PropCo advantageous but not essential
* NFOPP Qualifications preferred but not essential
* A natural communicator, able to build strong relationships, with experience in working with multi-functional teams and delivering to tight time-scales
* Enthusiastic, proactive and adaptable individual able to deal with a diverse and demanding workload
* Have high organisation skills and the ability to prioritise tasks with excellent time management
* Ability to manage own time and work remotely in busy and complex role
