Job Summary:

We are seeking a part time veterinary receptionist with a proven background in having difficult conversations and creating win-win outcomes, someone who is also reliable and organised to join our team. This is a key member of our team as the first and last friendly face our clients see when visiting. The ideal candidate will have excellent communication skills, strong organisational abilities, and be proficient in various office software programs.

We are recruiting for a part-time position (20 hours per week) to include a shared rota working on Saturday mornings (1/2 day, worked 1 in 3). Shifts to be worked during our opening hours 9am - 7pm Monday to Friday and 9am - 1pm on Saturday mornings.

Duties:

* Greet clients and their pets upon their arrival to the practice.

* Answer phone calls and emails as to schedule appointments and tasks, including taking medication requests.

* Provide information to callers and visitors regarding services and products.

* Register, check and update client details.

* Register, check and update pet health club subscriptions.

* Assist the vets with dispensing medication.

* Perform clerical tasks such as filing, photocopying, and data entry.

* Manage incoming and outgoing mail, packages, and deliveries.

* Maintain a high standard of cleanliness in reception and consulting rooms. Put away and record deliveries received on system.

* Process payments and provide invoices and receipts.

* Handle sensitive information with confidentiality.

* An aptitude to remain calm and professional when faced with a variety of situations.

* Ability to work as part of a team and also independently with minimal supervision

Experience:

* Previous experience working in a veterinary practice desirable, but not required.

* Excellent communication and customer service skills.

* Strong organisational skills with the ability to multitask, prioritise tasks effectively and perform well under pressure.

* Excellent phone etiquette and communication skills, both verbal and written.

* Proficient and experienced using office and Practice Management Systems (desirable).

* Attention to detail and accuracy in data entry and record keeping.
